Job Description
The School Administrator is responsible for overseeing the daily administrative operations of the school to ensure an efficient, organized, and conducive learning environment. The role involves managing student records, coordinating admissions, supporting staff and parents, maintaining school documentation, and ensuring compliance with school policies and regulatory requirements.
Administrative Operations
- Oversee the day-to-day administrative activities of the school.
- Maintain accurate and up-to-date records of students, staff, and school operations.
- Prepare and manage correspondence, reports, memos, and official documents.
- Ensure proper filing and documentation systems are maintained.
- Coordinate school meetings and prepare meeting minutes where required.
Admissions and Student Records
- Manage the student admission and enrollment process.
- Maintain student files, academic records, and attendance records.
- Respond to inquiries from prospective parents and provide information about the school's programs and services.
- Process student transfers, withdrawals, and graduation documentation.
Parent and Stakeholder Relations
- Serve as the first point of contact for parents, visitors, and external stakeholders.
- Address administrative inquiries and escalate issues where necessary.
- Coordinate parent-teacher meetings, school events, and communication initiatives.
- Maintain positive relationships with parents and the school community.
Staff Support and Coordination
- Support recruitment, onboarding, and administrative documentation for school staff.
- Monitor staff attendance and leave records.
- Coordinate training schedules, meetings, and staff communications.
- Ensure employees comply with school policies and procedures.
Financial and Procurement Support
- Assist with school fee administration and record-keeping.
- Prepare basic financial reports and payment records.
- Coordinate the procurement of school supplies and administrative materials.
- Maintain inventory records for school resources and equipment.
Compliance and School Management
- Ensure adherence to educational regulations and school policies.
- Support accreditation, inspection, and compliance processes.
- Maintain confidentiality of student, staff, and school information.
- Ensure administrative processes align with best practices and regulatory requirements.
Event and Facility Coordination
- Coordinate logistics for school events, examinations, graduation ceremonies, and extracurricular activities.
- Monitor the condition of school facilities and report maintenance needs.
- Ensure classrooms, offices, and common areas are adequately equipped and functional.
Qualifications
- Bachelor's Degree or HND in Education, Business Administration, Public Administration, Management, or a related field.
- Minimum of 2–4 years of administrative experience, preferably in an educational institution.
- Experience in school administration and student record management is an advantage.
