We're seeking a highly organized, proactive, and dynamic individual to join our team as the Operations and Sales Coordinator. This role connects sales acquisition and project execution, coordinating all business activities. The ideal candidate will be the central point of contact for sales support, project logistics, and overall administrative efficiency, contributing directly to our clients' growth and operational excellence.
Job Description
Key Responsibilities
Sales Coordination and Support
Sales Pipeline Management: Coordinate the flow of information between the Sales team and other departments (e.g., Technical, Finance).
Proposal and Contract Support: Assist in the preparation, formatting, and submission of sales proposals, contracts, and tender documents, ensuring accuracy and adherence to company standards.
Client Communication: Serve as a secondary point of contact for clients regarding sales follow-ups, scheduling meetings, and ensuring all sales-related documentation is filed and managed effectively.
Reporting: Track sales activities, metrics, and outcomes, providing regular reports to the Sales Manager and leadership team.
Project Deliverables Coordination
Project Kick-off and Planning: Facilitate internal project kick-off meetings following a sales closure, ensuring clear communication of client requirements and project scope to the delivery teams.
Resource Allocation: Assist in coordinating the scheduling and assignment of internal and external resources (e.g., personnel, equipment) to meet project timelines.
Timeline and Milestone Tracking: Monitor project progress against established timelines and milestones, flagging potential delays or bottlenecks to the Project Manager/relevant department head.
Documentation Management: Maintain an organized system for all project-related documentation, including specifications, change orders, progress reports, and final sign-offs.
Logistics: Coordinate logistical requirements for project sites, including material procurement, delivery schedules, and necessary permits/access permissions.
General Operations and Administrative Activities
Process Improvement: Identify and suggest improvements to internal workflows, focusing on enhancing efficiency in the sales-to-delivery handoff process.
Cross-Departmental Liaison: Act as the main point of coordination for routine administrative activities that span multiple departments.
Meeting Management: Schedule and coordinate key internal and external meetings, prepare agendas, and distribute meeting minutes and action items.
CRM/ERP Management: Ensure all sales, client, and project data within the company's Customer Relationship Management (CRM) or Enterprise Resource Planning (ERP) systems is accurate and up-to-date.
Qualifications
Required
Bachelor's degree in Business Administration, Management, Engineering, or a related field.
Experience working a downstream haulage company
Minimum of 3 years of experience in an administrative, coordination, sales support, or project support role, preferably within the energy, engineering, or industrial sector.
Demonstrated proficiency with CRM software (e.g., Salesforce, HubSpot) and Microsoft Office Suite (Excel, Word, PowerPoint).
Exceptional organizational skills and acute attention to detail.
Strong verbal and written communication skills.
Proven ability to manage multiple priorities and deadlines simultaneously in a fast-paced environment.
Preferred
Experience with project management methodologies or software (e.g., Asana, Trello, Microsoft Project).
Understanding of the sales cycle and basic project lifecycle management.
Experience working in a company dealing with technical projects or complex deliverables.
