They seek to hire a Personal Assistant (PA). The Personal Assistant (PA) will provide comprehensive, high-level administrative, organizational, and personal support to the Chairman within our client’s company. This role requires exceptional organizational skills, a proactive attitude, a high degree of discretion, and the ability to manage complex schedules and logistics, often involving international travel and high-stakes confidentiality.
Job Description
Key Responsibilities:
Executive and Administrative Support:
Manage and maintain the executive's demanding and ever-changing calendar, scheduling meetings, appointments, and personal commitments.
Handle all incoming and outgoing communication, including screening phone calls, managing emails, and drafting professional correspondence, reports, and presentations.
Organize and coordinate all aspects of domestic and international travel, including detailed itineraries, flight and accommodation bookings, visas, and ground transportation.
Prepare and process expense reports, invoices, and other financial documentation accurately and on time.
Maintain an organized and efficient electronic and physical filing system for important documents and records.
Serve as a professional and discreet liaison between the executive and internal staff, external stakeholders, clients, and personal contacts.
Personal and Social Management:
Proactively anticipate the executive's personal needs and handle sensitive personal affairs with the utmost confidentiality and discretion.
Organize and coordinate personal and professional social engagements, including dinner parties and corporate events.
Demonstrate strong knowledge of high-end restaurants, venues, and service providers, and manage reservations and arrangements.
Maintain an updated and comprehensive contact management system.
Qualifications
Required Qualifications and Skills:
Proven experience (5+ years) as a Personal Assistant, Executive Assistant, or a similar high-level support role, preferably within a fast-paced corporate or international environment.
Sharp and Intelligent mindset: Must be exceptionally proactive, quick-witted, and able to anticipate needs and resolve issues independently.
Demonstrable experience managing international travel logistics and complex itineraries.
Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling/CRM software.
Superior verbal and written communication skills.
Exceptional organizational skills, meticulous attention to detail, and proven ability to manage multiple priorities under pressure.
Absolute commitment to maintaining the highest level of confidentiality and professional discretion.
High degree of social awareness and emotional intelligence, with the ability to interact professionally with diverse groups of people.
Proven good organiser with a track record of successfully managing complex events and schedules.
