Job Description

Our client is  seeking a dynamic and highly organized Chief of Staff (CoS) to serve as the Managing  Director’s strategic partner and office lead. This pivotal role ensures the MD is fully prepared,  optimally engaged, and supported across corporate, board, and external obligations. 

The CoS will manage the MD’s office end-to-end, coordinate priorities across multiple  businesses, and translate strategy into execution. 

Key Responsibilities

The successful candidate will be responsible for the following:

  • Act as a trusted advisor to the Managing Director (MD), providing strategic analysis, insights, and recommendations on key business and operational matters.

  • Proactively identify and assess risks, issues, and opportunities across the MD’s portfolio, including core business activities, board responsibilities, and related ventures.

  • Support the MD in prioritizing competing demands and making informed, timely decisions.

  • Coordinate and oversee preparation for the MD’s internal and external engagements.

  • Manage the day-to-day operations of the MD’s office, ensuring efficiency and effective execution of priorities.

  • Lead executive coordination and stakeholder management to ensure clear communication and strong collaboration.

  • Manage information flow into and out of the MD’s office, ensuring timely follow-through on directives, decisions, and commitments.

  • Provide support for the MD’s roles on national agency boards and committees.

  • Provide functional leadership and guidance to the Executive Assistant (EA).

  • Handle highly sensitive and confidential information with the highest level of discretion, professionalism, and judgment.

Skills & Competencies

  • Strong strategic thinking, business acumen, and analytical capability

  • Excellent written, verbal, and presentation skills (PowerPoint/Slides)

  • Ability to synthesize complex information and deliver actionable insights

  • Strong project, stakeholder, and executive coordination skills

  • Executive presence, high emotional intelligence, discretion, and integrity

  • Proactive, solution-oriented, highly organized, and calm under pressure

  • Data analysis and reporting proficiency using Microsoft Office and related tools

  • Ability to lead initiatives, drive change, and collaborate effectively

  • Basic knowledge of the maritime industry is an advantage

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field

  • Minimum of 5 years’ experience in executive office support, strategy, consulting, corporate planning, or PMO roles

  • Prior experience supporting a CEO/MD or Board-level executive

  • Exposure to board governance, regulators, or public sector agencies is desirable

  • MBA or equivalent advanced degree is an advantage

  • Background in maritime or other regulated industries preferred

  • Technologically savvy and willing to travel when required
