Job Description

Mitie has a great opportunity for a Receptionist to join the Total Security Management Team; the Receptionist will be based with one of our prestigious customers. This is a permanent role reporting into the Account Manager.

Main Duties

  • Responsible for welcoming all Vodafone employees, contractors and visitors who come to the HQ reception.
  • To register all visitors, contractors and employees (as required) using the visitor management system, issuing passes as appropriate.
  • To ensure all visitors to the site feel welcome and where necessary introduce guests to amenities.
  • Create the best ‘first impression’ to all individuals visiting the site.  Ensure that visitors waiting for their host are looked after and their personal requirements are met.
  • Build a professional rapport with visitors through positive communication with them.
  • Work well under pressure whilst still offering excellent customer service.
  • Offer and administer Wi-Fi access to visitors, contractors, or employees as required.
  • Be fully aware of all events and meetings taking place across campus so that customers can be advised accordingly.
  • Ensure that Reception workstations, and visitor wait areas are kept clean and tidy; maintaining a high standard of presentation at all times.
  • Actively seek continuous improvement and solicit support from your team members.
  • Ensure all maintenance and cleaning issues are reported appropriately via the helpdesk.


  • To operate the Avaya switchboard answering calls from the external and internal callers connecting them to the desired destination.
  •  To ensure politeness, patience, and courtesy, are exercised at all times, whilst dealing with telephone inquiries.
  • Provide operator services for callers requiring assistance and/or connection
  • Escalate and monitor system faults.
  • Be familiar with the Vodafone organisational structure and business functions.
  • Ensure your work area is safe and team members are safe in accordance with statutory and local Health & Safety requirements.
  • Actively seek continuous improvement and solicit support from your team members.
  • To ensure prompt, timely attendance as per the rota provided.
  • To ensure that the uniform policy is complied with.
  • To carry out additional administrative duties as required this could include, but not be limited to data entry, word processing, entering information into spreadsheets, operation of computerised booking system, processing of access control paperwork.


Person Specification:

  • Flexible and proactive.
  • Passionate about exceptional customer service.
  • Experienced in Front of House or Reception ideally gained within a corporate or 5 Star hotel environment.
  • Ability to build positive relations with colleagues, guests and clients.
  • Able to work off their own initiative and with minimal direction.
  • Strong team player with a commitment to support their colleagues.
  • Excellent written and oral communication skills.
  • Exceptionally organised and skilled in multi-tasking.
  • High attention to detail.
  • Working knowledge and competent in the use of Microsoft Office software.
  • Required - Good level of IT literacy with knowledge of Microsoft Office and the ability to learn bespoke computer systems.
  • Required – Good verbal and written communication skills.
  • There will be an expectation for the post holder to attend training as required.  These courses may be held in different parts of the country and the post holder will be expected to attend as required.
  • Undertake reasonable management requests from the Events and Front of House Manager where appropriate.
