Job Description

A chance to combine administrative and financial expertise in a role supporting the CFO in a global organization.

Objectives of this Role

  • With a primary responsibility of supporting the Chief Financial Officer, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
  • Maintain and refine internal processes that support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
  • Support the legal department with a variety of tasks

Responsibilities:

  • Manage professional and personal scheduling for Chief Financial Officer, including agendas, mail, email, calls, travel arrangements, and other company logistics
  • Facilitate the tracking of tasks, priorities, and commitments of the CFO and his management team
  • Tracking and following up on various projects of the CFO and his team
  • Preparing presentations for a variety of stakeholders including senior management, the board of directors, and shareholders
  • Performing internal and external research on behalf of the CFO
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
  • Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
  • Providing support to the legal team with various administrative tasks
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business

Qualifications

  • Prior experience in an administrative role reporting directly to senior management
  • Superb English written and verbal communication skills.  Other languages desirable
  • Detail oriented and able to manage projects independently
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Tech savvy with proficiency in Microsoft Office with advanced skills in Excel and Powerpoint, with an aptitude to learn new software and systems
  • Microsoft Power BI skills a plus
  • Experience supporting a legal team or law firm a plus
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to properly handle confidential information
