Job Description

The Operation Controller (OC) ensures the integrity, accuracy, and timeliness of daily accounting transactions across Accounts Receivable, Accounts Payable, Cash & Bank, and Fixed Asset processes. The role is responsible for maintaining strong internal controls, ensuring compliance with accounting policies, and supporting efficient month-end closing. The OC works closely with property teams and relevant stakeholders to ensure smooth financial operations, accurate reporting, and execution of key financial transactions at the Property.   

Key Responsibilities:

Order To Cash (OTC)  

  • Extract and provide necessary reports from Opera to BPO team in a timely manner e.g., daily trial balance report (for guest ledger, city ledger, and deposit ledger reconciliation), AR Aging report and long outstanding PM folios from Opera (for consolidated aging report).  

  • Manage and file physical invoices, receipt (if applicable) per compliance requirement. Provide access to auditors upon request.  

  • Coordinate with relevant parties to support invoice and receipt processing e.g., call travel agent (AR) to follow up remittance advice / follow up long outstanding invoice (if applicable).  

  Procure To Pay (PTP)  

  • Review, follow up on, and/or settle AP-or purchasing-related open items as shown in the reports shared by BPO team; (e.g. open cash advances, outstanding balances and/or against prepayment ratio, direct AP ratio) to ensure clearance, proper documentation, and compliance with policies.  

  • Verify accounting entries against actual activities using preliminary reports produced and shared by the BPO team; provide inputs of period-end accruals for unbilled expenses (if any).  

  • Follow up on corrective actions related to property expenses, credit card settlements, cash advances, credit notes, and exceptions.  

  • Securely store and manage physical invoices and tax documents; provide access to auditors upon request.  

  • Conduct property-level accounts payable analysis (e.g., long aging AP invoice) to support financial oversight (where requested; by FC).  

  • Liaise with local authorities and external accountants to provide required information or connect to align per new or change of regulations (if any).  

  

Record to Report (RTR)  

 RTR Master Data   

  • Gather supporting document, liaise with GSSC, and submit request related to RTR master data creation or modification need (if applicable).  

   Bank & Cash Management   

  • Perform physical cash management including float management, cash deposit to bank, foreign exchange, petty cash & cash advance (if applicable) and ensure policy compliance.  

  • Perform cash reconciliation with accounting record to ensure timely and accurate cash booking.  

  • Review report, follow up on, and/or clear open items related to bank accounts to ensure timely clearance, proper documentation, and compliance with policies.  

  • Be a focal point to contact with local bank to resolve some queries and open items.  

  • Support to download electronic bank statement (if required) and share with the BPO team for further processing.  

  Intercompany   

  • Gather data and prepare necessary details for intercompany adjustment.  Review and confirm the correctness and completeness of cross charging details submitted to BPO for processing.  

  • Review, follow up on, and/or clear open items related to intercompany transactions to ensure timely clearance, proper documentation, and compliance with policies.  

  Fixed Assets (FA), Project Costing and Lease Management   

  • Support physical fixed asset management: tagging, transfers, retirements, impairments and annual physical count.  

  • Provide project completion status for CIP-to-Asset transfers from operation point of view.  

  • Maintain leases contract and collect all supporting documents required for processing lease life cycle.  

   Period-end Closing   

  • Collect relevant data and prepare supporting document for non-recurring/ non-standard JE to BPO to process transactions.  

  • Collect relevant data and prepare supporting document for amortization of prepaid expense.  

  • Support GSSC and BPO for period-end closing: provide required details, approve management fee calculations, and address open items.  

  • Review report, follow up on, and/or clear open items related to balance sheet reconciliation to ensure timely clearance, proper documentation, and compliance with policies.  

  Tax Compliance  

  • Gather data and prepare necessary details for tax adjustment (if any).  

  • Support on local operational tax filings (if any).  

  General Management   

  • Act as a focal point for activities related to operational finance e.g., external auditor, local regulator, bank., and tax authorities.  

  • Manage and file relevant physical documents related to accounting and tax record per compliance requirement. Provide access to auditors upon request  

  

Qualifications

  • Bachelor’s Degree in Accounting, Finance, or related field. 

  • Minimum 3–5 years of accounting experience, preferably in hospitality or shared service operations. 

  • Experience in Oracle Fusion or other ERP systems preferred. 

  • Strong understanding of AR, AP, GL, and cash processes. 

  • Proficiency in account reconciliations, cash management, and journal preparation. 

  • Strong analytical skills and accuracy in financial data management. 

  • Good command of Microsoft Excel and ERP system navigation. 

  • Knowledge of accounting standards and internal controls.
