Job Description

Business 
• Ensure effective operation of the Avani Fares Reservations Office in meeting the business goals 
of the hotel.
• Ensure that all Standard Operating Procedures are being adhered to, by training all Reservation 
Supervisor and monitoring their performance. Continue to capture best current practice in new 
SOPs. 
• Training of the Avani Fares Reservation Office in all aspects or reservations operations to ensure 
a high degree of accuracy in guest reservations, maximizing revenue opportunities and 
satisfaction of guests and employees.
• Follow all reasonable work-related requests made by your Manager which may be outside your 
normal job activities, to achieve complete guest satisfaction and service.
• Ensure available technology (ORS ) is fully utilized and understood according to property-specific
business mix and requirements; in-depth knowledge of Opera Reservation System and local 
Property Management System is required.
• Maintaining high standards of data quality through regular system maintenance.
• To continuously review technical problems, work & operational procedures to maintain guest and 
employee satisfaction.
• Ensure optimal use of all distribution channels, e.g.Avani.com, Tour Operators, Small Luxury 
Hotels, Cluster Sales Offices and Property Sales Offices.
• Ensure all team members are up to date with current information and data of the hotel product, 
including room types, rates, relative features and facilities, food and beverage outlets & 
promotion, spa and, other services and facilities..
• Assist in developing the short-, medium- and long-term reservation strategies for Avani Fares
property as applicable in order to maximize opportunities.
• Management of daily, weekly, and monthly reports and projects as defined and requested by Line 
Manager.
Financial
• Be fully aware at all times of the selling strategy, rates, packages and booking status of the hotel.
• Responsible to drive maximum revenues of preferred Avani rate/package products by applying 
relevant selling strategy.
• Take personal responsibility for driving up selling within the Avani Fares Reservation Office by 
setting monthly targets per team member in order to achieve target.
• Responsible for preparing the Avani Fares Reservation Office report with at most accuracy.
• Submit requested reports and information in a timely manner

Customer 
• Understand how Sales office, Central Reservation Department and Front office relate to the Avani 
Fares Reservation Office.
• Monitor VIP’s reservation by ensuring all guest requests are carried out and communicated to 
other departments, all realistic expectations are met, and reservations are honored.
• Maintain effective office administrative procedures within the Avani Fares Reservation Office that 
will safeguard and detect double-bookings, non-guaranteed bookings, filing errors and other 
inaccuracies. Understand and apply hotel policies for no-shows, cancellation, credit and prepayment policies.
• Take personal responsibility for maximizing quality levels of product and service, and guest 
satisfaction. Ensure all issues relating to guest satisfaction are raised, monitored, and followed 
up on a timely basis.
• Assist with phone coverage when necessary and handle calls on an over flow basis.
• Analyse office and team member productivity on a daily basis and act accordingly to improve 
performance.
• Ensure all new processes are communicated to the team member in an effective and productive 
manner, ensuring these are followed up to check understanding.
• Provide assistance and friendly gesture to local representatives of tour operators and travel 
agencies.
• Take necessary steps to assist hotels with any issues or concerns on all aspects of the 
reservation process and provide feedback in a timely manner.
• To develop process in sequence of action in call handling, customer enquires product description 
and closing the sale.
• Handle suggestions and complaints by customer/tenants/guests and refer requests/complaints to 
department head and/or relevant department to ensure they are dealt with promptly and 
efficiently.
• Take necessary steps to assist hotels with any issues or concerns on all aspects of the 
reservation process and provide feedback in a timely manner.
• Maintains effective communication on the activities of the Department with other operating and 
across the regional hotels.
