Job Description

We are looking for a proactive and diligent Executive Assistant to provide a full range of operational and administrative support functions to the Chief Operating Officer. You will need to ‘manage up’ and anticipate needs to remain ahead (all aspects of planning and organising) of the Chief Operating Officer.

About the role:

  • Provide high-level professional and confidential administrative support
  • Ensure efficient email & diary management, including scheduling, negotiating appointments and meetings, and organising associated and supporting documentation
  • Prepare high level reports, presentations and other correspondence
  • Prepare and compile agendas/briefing documents and background research
  • Coordinate international and domestic travel
  • Coordinate requests for information from internal and external stakeholders and provide a professional first point of contact for all enquiries
  • Travel to attend meetings with the Chief Operating Officer when required
  • Maintain effective and proficient filing systems for recording and storing information.
  • Prepare companywide communications on behalf of the COO, with a high level of professionalism.
  • Assist with drafting and posting internal and external social media communications

Qualifications

To be successful you will need:

  • Demonstrated experience in providing high level corporate executive support.
  • Understanding of the importance of maintaining confidentiality and discretion.
  • Advanced knowledge and experience in MS Office.
  • Experience in managing budgets, planning cashflow and basic financial reporting
  • Strong numeracy and Microsoft Excel skills will be critical
  • High-level written and oral communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally
  • Demonstrated initiative, flexibility and self-management skills and proven capacity to work with limited supervision
