Job Description

1. Job Purpose:

Executive Secretary to Vice President of Corporate Finance & Corporate Secretary is responsible for ensuring the efficiency and effectiveness of the executive's office by providing information, management support, travel/business trips assistance and documents preparation, coordination with related departments and other stakeholders as well as handling all the administrative management for the executive as assigned.

2. Main Responsibilities:

Executive’s Scheduling and Daily Arrangement

·         Manage the executive’s daily schedule. Keep the executive’s calendar constantly update.

·         Manage all the business appointment and meeting arrangements for the executive.

·         Prepare all required document for each meetings and proper filing after meeting

·         Be the representative to handle VP’s visitors greeting

·         Manage the executive’s driver scheduling. Brief the driver on routes for providing proper service to the VP.

Business and Personal Trips Arrangement

·         Take care of all travel arrangements for both business and personal trips.

·         Prepare documents for / facilitate visa application, flight arrangement, accommodations reservation, and domestic transportation required for the executive

·         Prepare / download required documents for business meetings.

Administrative Assistance

·         Keep VP’s contacts updated at all times, manage contact business cards filing and electronic filing system

·         Manage company assets by keeping and updated list and expiry contact date.

·         Handle all reimbursement for the executive

·         Handle driver service invoice. Create a payment requisition through Oracle system

·         Provide support as required to Corporate Secretary in organizing Company’s Annual General Meetings and Board of Director Meetings

·         Manage petty cash management and manage driver expenses & allowances

Other Duties:

·         Adhere to the company’s employee rules & regulations.

·         Attend and contribute to all training sessions, meeting and activities as required.

·         Exercise responsible behavior at all times, positively representing.

·         Maintain strong, professional relationship with relevant business partners.

·         Ensure high standards of personal presentation and grooming.

·         Keep the office and working areas clean and tidy at all times.

·         Carry out any other reasonable duties and responsibilities as assigned.

Qualifications

Qualification:

Experience;

·         Experienced in providing administrative or secretarial support to high level executive in a fast-paced environment

Work-related Skills;

·         Strong organisational, communication skills and attention to details

·         Enjoy document work with detailed excellence and fine neatness

·         Strong English communication, excellent writing skill in both academic and email correspondence

·         Organized with sound time keeping, scheduling and forward planning ability

·         Proficient office equipment and modern technology management related to day-to-day efficiency of the executive and for self

·         Excellent in performing tasks using the MS Office program

·         Excellent ability to coordinate, connect with people at all level to deliver results

Character & Composure;

·         Ability to maintain confidentiality with composure at all time

·         Strong maturity, as a representative of senior executive

Education:

·         At least Bachelor’s degree in any field.

Experience:

·         Preferably >5 year experience in Executive Assistant position with international companies serving senior executives
