Job Description

Support Minor Food’s growth targets by providing specialist knowledge as well as ensuring all legal requirements regarding property leases are adhered to.  Responsible for the leasing contracts for compliance of property leases.  This includes property leases with major (shopping malls) and small (shop houses) landlords. 

Qualifications

Main Responsibilities:

  •  Prepare draft and review property leasing contracts (both new and renewal in Thai and English) to ensure compliance with both local legislations and Minor internal policies.
  • Coordinate with landlords to collect all required documents for on-time contract completion according to procedures.
  • Issue necessary letters and documents representing Minor Food to landlords in relations to property leasing.
  • Negotiate legal terms in the contracts with landlords, e.g. in the case of contract cancellation, etc.
  • Coordinate with relevant government agencies (e.g. Department of Lands, Revenue Department, etc.) for registration of leasehold rights.
  • Prepare cover report/ memo which highlights the important legal clauses/ risks in the contract.
  • Obtain all required signatures for leasing contract approval.
  • Manage all leasing contract documents retention.
  • Update status in KPI reports regarding leasing contract.

Other Duties:

  • Adhere to the company’s employee rules & regulations.
  • Attend and contribute to all training sessions, meetings and activities as required.
  • Exercise responsible behavior at all times, positively representing Minor Food.
  • Maintain a strong, professional relationship with relevant business partners.
  • Ensure high standards of personal presentation and grooming.
  • Keep the office and working areas clean and tidy at all times.
  • Carry out any other reasonable duties and responsibilities as assigned.

Job Profile:

  • Work 5 days a week (flexible hours), usually from Monday – Friday.
  • Able to work on holidays, as needed (seldom).
  • Handle multiple tasks and projects at the same time.
  • Work under time pressure with little supervision.
  • Work with a lot of documents and reports.
  • Work with multiple stakeholders internally and externally.
  • Able to communicate in English and Thai.
  • Heavy use of computer programs on a regular basis, especially Microsoft Office Programs (Word, Excel)
  • Work may involve occasional traveling upcountry.

Tasks Performed:

  • Draft & review leasing contracts & documents (new & renewal).
  • Contact landlords for supporting documents for leasing contract.                                                             
  • Negotiate with landlords for all issues related to leasing contract.                                      
  • Contact with Department of Lands for registration of leasehold rights. 
  • Contact with Revenue Department for duty stamp.         
  • Prepare memorandum/letter to landlords. 
  • Prepare legal highlight report/ memo for contract signing (Site Approval/ Site Package) 
  • Follow up approval signatures from brands to complete within timeline.  
  • Prepare a monthly status report to line manager. 
  • Collect all leasing contract to an external supplier for storage management.
  • Review supplier contracts for Project management team.
