Job Description

Job Purpose:

Reporting to the Director of End User Services, the IT Asset and Procurement Manager will lead and provide general administrative support to the IT team and its leadership, as well as lead the department’s procurement and purchasing activities. This position will set the strategic vision for procurement and asset management within IT. The ideal candidate will be detail-oriented, organized and have extensive experience in the IT Procurement field, work well independently and possess the communication skills to facilitate and manage vendor relationships.

Responsibilities:

   Procurement – 25%

  • Leads and oversees the daily activities of ordering and purchasing IT-related materials and products
  • Research and negotiate with suppliers and vendors to obtain prices and specifications
  • Lead efforts to identify the best providers for the assets required for End User Services. Work with the suppliers to ensure open communication and build a partnership to ensure availability of products and services promptly.
  • Reconciles and enters invoices for all IT services
  • Provide leadership, mentoring, and training to junior procurement team members, assuring all team members understand policies, procedures, and process.
  • Other duties assigned

Asset Management – 30%

  • Administrative responsibilities with regard to IT procurement and Full Life Cycle Asset Management. Regularly assesses and tracks quality of IT products
  • Oversee the disposal of all unused and end of life equipment. This includes ensuring confidential data and licensed software are removed before Assuring that all records within the Asset Management System are updated to reflect the current asset disposition and equipment is disposed of by Minor guidelines.
  • Maintains and updates records pertaining to licenses, warranties and service agreements for Minor hardware and software.
  • Audit compliance with processes and the accuracy of inventory levels. Verify that existing asset information is accurate. Hold participating groups accountable for proper handling of inventory and assets.
  • Ensuring standardization of equipment and distribution. Making key purchasing decisions

Help Desk – 15%

  • Resolves Help Desk tickets related to assets, mobile device and new computer setup, procurement, and contracts
  • Adhere to Minor’s established service level goals within Minor’s Zendesk ticketing system.Contract Administration and Management– 15%
  • Maintains records containing information regarding contracts, such as expiration and notice periods
  • Assists with preparing IT contract proposals

Budget and Other – 15%

  • Manage IT projects focused on maximizing and improving efficiency and effectiveness, as needed.
  • Work with IT Leadership to set IT’s strategic plan as it relates to IT procurements, vendor contracts, and relationships.
  • Assists with invoice and contract processing activities during budget season and is cross-trained on IT budget responsibilities to provide backup support when necessary. Performs related administrative duties as assigned.
  • Monitor and reconcile IT Infrastructure budget.

Qualifications

Qualifications

  • Management experience in Asset Procurement and vendor relations within IT or a related field required. Has knowledge of commonly-used concepts, best practices, procedures and processes within the IT asset and procurement field.
  • Must be able to manage multiple projects and work with changing priorities in a high volume, customer-oriented environment. Proficient in MS Office applications (Word, Excel).
  • Has experience working with various procurement and asset management systems.
  • Ability to work independently with minimal supervision.
  • Excellent written and oral communication skills required.
  • Resourceful in seeking alternate providers, vendors or solutions wherever appropriate.
  • Experience leading and managing a procurement team or department is desired but not required.
  • Experience working within a Helpdesk ticketing system desired but not required.
  • Experience working within and contributing to an organizations budgeting process desired.

Education:

·         Bachelor's or Master’s degree in Information Technology.

·         Computer Engineering or related fields is required.
