Duration:        1+months (with possible extension)


To support the HR Operations team in the audit and clean-up process of the US Employee File room in anticipation of the launch of Global electronic filing system, scheduled for July 1. In order to have the file room ready for scanning and complete the clean-up process, which consist in verifying accuracy of documentation and ship out of inactive files to our record keeping vendor.
1. Support file audit and identify files that correspond to active/inactive population
2. Identify and separate files & documents that don t correspond to content description per project specification and follow through proper action with team leader and/or Supervisor
3. Assist in eliminating outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements
3. Prepare, log, audit and ship out inactive files to record management vendor (where applicable)
4. Create a schedule with record management vendor to retrieve hard copies of files once returned from scanning and ensure appropriate HR Operations team member have access to archive of vendor to continue procedures
5. Create, maintain and follow through log of missing documentation needed for employee files and communicate proper action to team leader & Supervisor
6. Maintain log of any missing files/documentation and communicate to team leader & Supervisor accordingly
7. Retrieve, sort, and file documentation as needed
8. Assist in the audit and purge work of electronic documentation to avoid duplication of effort and identify which items already exist and don t need scanning
9. Transfer work at end of project assignment and explain to designated resource in HR Operations
? Must have a HS diploma or GED equivalent
? College education is preferred but not required
? 2 or 3 years of experience in customer service, clerical, or administrative support
? Experience with filing systems is a plus
? Must be computer literate (MS Office and Internet)
? Able to read and follow instructions, has hand-eye coordination / manual dexterity, and is detail oriented
? Can effectively cope with a fast paced, deadline-oriented project environment
? Able to sort documents based on criteria given by the project team
? Dependable with a respect to confidentiality and policies
- The role requires repetitive tasks and high level of attention to details
- High number of hours standing/sitting (consider)
- Ability to multi-task and change tasks immediately


Qualifications

? Must have a HS diploma or GED equivalent
? College education is preferred but not required
