Job Opportunity: Grants Associate

Mid Atlantic Arts is excited to welcome an enthusiastic Grants Associate to join our organization. Reporting directly to the Grant Manager, this role serves as the primary contact for grantees regarding post-award inquiries and issues, managing communications for the submission of required documents, such as grant agreements and final reports. Key responsibilities include reviewing and coordinating revisions of submitted agreements, maintaining electronic grant files, compiling documentation for bi-weekly grant payments, and assisting with eligibility reviews. The role involves maintaining grantee contact information, performing data cleanup, testing system templates, and ensuring accurate data file transfers between grants management and finance systems.

Job Description

Position Responsibilities   

  • Act as the primary contact for grantees regarding post-award inquiries and issues related to their grants or the cloud-based grants management system.
  • Coordinate communications with grantees for submitting required materials, including signing grant agreements, and submitting contracts and final reports.
  • Review submitted agreements and contracts for accuracy and completeness, coordinating revisions with grantees as needed.
  • Maintain electronic grant files.
  • Compile documentation for the accounting department to facilitate bi-weekly grant payments.
  • Assist with eligibility reviews.
  • Maintain and update grantee contact and organization information in the grants management system, coordinating with other departments, as necessary.
  • Perform light maintenance and data cleanup in the grants management system.
  • Assist in testing templates for applications, agreements, and final reports to ensure user experience and grants management system functionality.
  • Produce, review, and process files for data transfers between the grants management and finance systems.
  • Aid in reconciling payments between the grants management and finance systems.

Qualifications

Qualifications

  • At least two years of relevant work experience, preferably in nonprofit administration, grants administration, or fundraising/development.
  • Proficiency with database software, such as customer relationship management (CRM) systems and grants management systems (GMS). We use SmartSimple as our GMS and are implementing Salesforce as our CRM.
  • Intermediate proficiency with Microsoft Office products (Word, Excel, Outlook, SharePoint) or similar software.
  • Data-driven and process-oriented, with a strong attention to detail while keeping the big picture in mind.
  • Enthusiasm for collaboration across departments.
  • A passion for learning, iteration, and continuous process improvement.
  • Effective communication skills.
  • A desire to contribute to a workplace culture of authenticity, effectiveness, and inclusion, with an optimistic and abundance mindset.
