The Role:  The Total Rewards Specialist will be responsible for administering, facilitating & explaining benefit programs to employees. As part of the benefits offerings, they will also coordinate and communicate our various wellbeing initiatives to all employees globally. The Total Rewards Specialist will also partner with the Finance team to support our various employee equity programs (Employee Stock Purchase Program, Restricted Stock Units, and Stock Options). This role will also be responsible for key components of our employee engagement and people programs like our Employee Fitness (EF) and our quarterly recognition program, moments that matter touch points like baby, birthday, and anniversary gifts, etc.

Your Focus

Benefits/Wellbeing:

  • Assists with the implementation and ongoing delivery of corporate benefit plans, including medical, dental, vision, 401(k) plans, COBRA, etc.
  • Responsible for promptly addressing and handling employee inquiries related to employee benefits
  • Serves as a point of contact with internal stakeholders, vendors and consultants on benefits program
  • Assists employees with annual and ongoing enrollment
  • Investigates and resolves benefits issues as well as escalates concerns as needed
  • Supports new hire orientation and onboarding efforts, as it relates to benefits
  • Administers leave program, including FMLA and Time Off Tracking
  • Collaborates with Payroll to review, analyze, and reconcile payroll, eligibility and census related data
  • Ensures all benefits notices and employee information are current, accurate, and available to employees through various delivery modes, e.g. Intranet SharePoint site
  • Supports all plan filings and audits are performed to ensure and maintain plan qualification and governmental compliance of including but not limited to Employee Retirement Income Security Act (ERISA), HIPAA, DOL, and Internal Revenue Code
  • Administers and communicates wellbeing initiatives including available training and fitness classes
  • Manages the Employee Fitness (EF) program to include new hire communications, quarterly challenge creation, and managing prize selection and distribution
  • Coordinates various employee recognition programs, such as quarterly performance awards, service awards, birthday celebration, flowers and baby gifts, summer food trucks, etc.
  • Supports HR projects and other duties as assigned

Equity Program

  • Work with Finance team on maintaining RSU allocation model (reviewing on a quarterly basis before each grant)
  • Coordinates with the HR team on all new hire grants as part of the offer and onboarding process
  • Partner with global HR team leads to determine eligibility for quarterly grants
  • Run annual RSU allocation process
  • Own ESPP and RSU/Stock Option communications to include notifications around open enrollment windows, grants, new accounts, etc.
  • Assists with employee education program utilizing various media available to improve understanding of equity programs and policies

Required Experience and Skills:

You should also bring the following:

  • Bachelor’s Degree in related field
  • Experience in benefits or equity management is a nice to have
  • Excellent analytical, problem solving and critical thinking skills
  • Must be able to multi-task in a fast paced, deadline driven environment
  • Must be able to work effectively as part of a team and independently
  • Must possess a continuous improvement mindset: identify, recommend and improve current processes
  • Must have experience with MS Office Suite (Excel, Word, and PowerPoint) with high level of proficiency in Excel
  • Strong written and verbal communication skills
  • Excellent customer service skills, and the ability to deal with employees at all levels
  • Compensation experience a plus
