Job Description

HR Ops Support personnel represent ODNI Human Resources in a professional manner, at every level of the organization and across organizational entities and communicates effectively in both written and oral communications. The successful candidate will provide recruiting support, by reviewing, posting and tracking job descriptions on applicable websites, providing preliminary screenings of applicants for compliance and preparing applicant packages for component review.

DUTIES

  • Tracks applicant package statuses
  • Provides reports and metrics on recruiting processes
  • Communicates with applicants and employees to, arrange appointments
  • Collects, inputs and disburses information
  • Completes Enter-On-Duty support (EOD), including arranging EOD dates for applicants, providing and tracking appropriate paperwork, coordinating EOD sessions with facilitators and presenters and recording EOD data in appropriate HR systems
  • Reserves rooms, answers questions and solves last minute issues for EOD classes
  • Ensures that databases and recruiting tools are maintained and updated timely and develops new and innovative ways to conduct future orientations
  • Manages and prepares Memorandums of Agreement (MOAs), including initiating and tracking MOA agreements for all appropriate personnel
  • Coordinates and collaborates with all external entities, for proper information, signatures and processes
  • Collects, inputs and disburses data into and out of various HR systems
  • Represents ODNI in cross-organizational meetings
  • Presents data and analysis in a clear and concise manner
  • Resolves HR-related issues, conducts research and provides interpretation of HR policies and business rules
  • Develops and presents HR briefings and evaluates business practices/procedures, while providing recommendations for improving performance
  • Accurately posts, tracks and reports metrics to HR senior management, for all current and previous ODNI vacancy announcements, while ensuring data integrity
  • Provides preliminary screenings of applicants for compliance and prepares applicant packages for each individual
  • Creates, organizes and maintains the customer Job Posting Library, with applicant packages in line with customer Information Management Guidelines
  • Employs creative and innovative ideas, to establish products that will promote efficiency and streamlining of current processes and procedures
  • Performs other recruitment, applicant processing and HR support functions as tasked.
  • Ensures accuracy and data integrity as they relate to data being entered, stored and retrieved from organizational data sources
  • Accurately collects, records and posts organizational metrics

Qualifications

  • Government clearance required
  • Must possess an Associate’s Degree and five (5) years of operational/transactional experience or a Bachelor’s Degree and three (3) years of operational/transactional experience
  • Ability to manage competing priorities, while adhering to strict deadlines
  • Ability to multi-task while remaining calm and professional
  • Ability to clearly convey complex information and ideas to employees at all staff levels
  • Ability to learn, interpret and research policy and procedures appropriate for the work environment, whether it be ODNI, IC or industry
  • Ability to analyze organizational challenges and propose innovative solutions for process improvement, communication improvement or system enhancements
  • Demonstrated analytical ability to evaluate programmatic data and resolve discrepancies
  • Demonstrated proficiency with Microsoft Office tools (Excel, PowerPoint, Word)
  • HR experience with using and learning multiple types of data sources or Human Resources Information Systems
