Job Description

The Mission Support Administrator position performs a variety of administrative duties, providing mission support within the Mission Directorates.  The position provides general and specific administrative services and directly supports one or more functions or business areas, including: facilities management, finance, human resources, imaging and publishing, information management, logistics, procurement, medical, security, and general administrative support.  The ideal candidate will provide assistance to the completion of routine to moderately complex tasks for general office and/or program support.

ESSENTIAL DUTIES

  • Monitors the e-mails and telephones of manager(s) or office members
  • Drafts, proofreads and edits all correspondence
  • Produces documents, such as instructions, spreadsheets, presentations and reports
  • Maintains record tracking and filing systems, archiving files as necessary
  • Performs as a recorder and back-up administrator for time and attendance (T&A) accounting for the area of assignment
  • Performs data input, data collection and research, retrieving information and documents from databases and the Internet
  • Acts as a focal point for responses to queries regarding local in-house and Agency-wide administrative databases, such as those for Training and Timekeeping
  • Presents information through briefings to various audiences
  • Evaluates, proposes and implements innovative and new administrative processes to improve the efficiency and effectiveness of support administration
  • Coordinates and participates in the scheduling, organizing and execution of meetings, conferences and off-sites
  • Participates in meetings and events, serving as a recorder or working member of group and may brief or present administrative support-related information
  • Opens, sorts and distributes incoming mail, newspapers, faxes and other publications and documents
  • Prepares weekly status reports of action items and the completion of tasks related to the execution of a program, process, or transaction
  • Maintains inventory, issuing equipment, records, receipts and supplies
  • Orders and assigns various key material in support of customer requirements
  • Assists with work pertaining to the procurement, inventory control and destruction of registered cryptographic material utilized by the Agency and coordinates Agency wide cryptographic key requirements within the Agency
  • Handles disbursing transactions including airline tickets, metro checks and general travel information
  • Tracks overall program spending, including burn-rates on individual contracts
  • Assists with the administration, management and process for the hiring and maintenance of independent contractor resources
  • Based on government direction, prepares contractual instruments and related approval documents necessary to execute contracting actions

Qualifications

  • Government clearance required
  • Possess five years of administrative support experience as a Level I Mission Support Administrator or comparable experience
  • High School diploma or equivalent required
  • Ability to obtain working knowledge of Agency and/or IC regulations, policies, practices and procedures
  • Possess thorough knowledge of the use of MS Office, the Internet and other internal applications necessary to complete routine and moderately complex tasks
  • Possess basic knowledge of the Contracting Officer’s Technical Representative concepts and principles
  • Possess analytical skills sufficient to assess moderately complex information from multiple sources and draw logical conclusions
  • Possess strong oral and written communication skills sufficient to compose and deliver responses to customers’ routine to moderately complex questions in a clear and concise manner
  • Proven ability to multitask under tight deadlines
  • Proven ability to efficiently and rapidly store and retrieve information using filing and tracking systems
  • Demonstrated ability to establish administrative contacts and professional relationships for networking and serving as a liaison across the Agency
  • Proven ability to apply a strong customer focus orientation to understanding customer requirements and suggest and implement solutions
  • Proven ability to ensure that management, co-workers, customers and stakeholders are kept informed
  • Demonstrated ability to adapt to changing work requirements and priorities that may require overtime or extended hours
  • Proven ability to be discreet and maintain confidentiality
