Site Supervisor – Legal Office Services
Jacksonville, FL (onsite)
2+ Month (Temp to perm)

Qualifications

  • Client is seeking a Site Supervisor to oversee daily operations within a legal office environment.
    This role is responsible for supervising office services operations, supporting staff development, ensuring workflow efficiency, and maintaining high-quality service standards in a fast-paced legal setting. The position serves as the primary point of contact for end-user support while assisting with legal document processing, records management, mail and shipping, hospitality, conference room coordination, facilities support, and inventory control.

    Responsibilities

  • Supervise and support daily operations for a 1–3 person legal office services site.
  • Assist with copy, scanning, fax, production, mail, shipping, hospitality, conference room setup, receptionist backup, facilities support, and inventory control.
  • Handle confidential and time-sensitive legal documents with accuracy and professionalism.
  • Support legal workflows including closing binders, depositions, transcripts, briefs, addendums, filings, discovery, judgments, and court-related document handling.
  • Coordinate scheduling of equipment, labor, and supplies for offsite trials when needed.
  • Maintain productivity, quality, and deadline standards through effective job scheduling and workflow management.
  • Monitor payroll accuracy, productivity reporting, invoicing data, and month-end reporting.
  • Assist with financial reporting, pricing issues, orders, and invoicing resolution.
  • Train employees on workflow procedures, machine operations, and service expectations.
  • Ensure compliance with operational procedures, audits, and customer service standards.
  • Communicate professionally with attorneys, partners, paralegals, court personnel, vendors, and staff.
  • Walk documents to the courthouse as needed.

 

Additional Information

Candidates must be able to lift 50 pounds and stand for extended periods of time.
