Mō te tūranga | About the role
We are looking for an Executive Assistant, Generation for a three year fixed term contract to cover a secondment. You will provide high quality, proactive executive support to our General Manager Generation and play a critical role in enabling the effective operation of our Generation portfolio.

Generation operates across the breadth of Aotearoa New Zealand, with leaders and teams dispersed nationwide. In this role, you will be a trusted partner to the GM and the Generation Leadership Team, managing complex diaries, coordinating travel across multiple locations, and ensuring meetings and governance processes run smoothly despite competing priorities and geographic constraints.

This is a fast paced, reactive and dynamic role. You will act as a guardian of the GM’s time, energy and reputation, anticipating needs, exercising sound judgement and discretion, and adapting quickly as priorities shift in response to operational and business challenges that can change daily.

Āu mahi | What you’ll be doing

  • Providing high level executive support to the GM Generation, including proactive diary and travel management, meeting coordination, and day to day priority management
  • Anticipating, understanding and managing the GM’s priorities in an environment where demands and challenges can change quickly
  • Coordinating complex diaries and meetings across a nationally dispersed Generation Leadership Team, balancing multiple calendars, time constraints and competing commitments
  • Arranging and coordinating travel for the GM and GLT, ensuring efficient and well planned logistics for leaders based across the country
  • Preparing, collating and managing meeting materials, and actively tracking actions and commitments to support effective delivery across the GLT
  • Providing coordination and administrative support to the GLT, including attending WIPs and monthly meetings, capturing actions, and supporting timely follow through
  • Supporting resource planning activities across the Generation team where required
  • Ensuring Board, Executive and Investment Committee papers are prepared, quality checked and submitted on time
  • Building strong, trusted relationships with stakeholders across the business, including the Executive Assistant community
  • Managing the Generation team’s discretionary expenditure, including monitoring spend, coding and reconciliation
  • Coordinating Generation events and celebrations within budget, contributing to a positive and supportive team environment

  • Proven experience providing high level executive support in a complex, fast paced environment.
  • Exceptional written and verbal communication skills, with the confidence to engage effectively at executive and senior leadership level.
  • Strong interpersonal skills and the ability to build trusted relationships across a geographically dispersed leadership team.
  • Demonstrated ability to manage multiple competing priorities, anticipate needs, use initiative and adapt quickly as priorities change.
  • Highly developed organisational and administrative skills with strong attention to detail and follow through.
  • Excellent time management and multitasking capability, including coordinating complex diaries across multiple calendars and locations.
  • High level of computer literacy, including advanced proficiency in the Microsoft Office suite and the ability to quickly learn new systems and tools.
