Job Description

Role Overview:
As the Events Specialist, you will be responsible for planning, executing, and optimizing both in-person and virtual events aimed at building brand awareness, generating leads, and fostering client engagement. You’ll work cross-functionally with marketing, sales, and product teams to develop event strategies and experiences that align with our business goals.

Responsibilities:

Event Planning & Execution

  • Manage in-person and virtual events, including trade shows, conferences, virtual roundtables, and client user conference events.
  • Coordinate all event logistics, including venue selection, scheduling, budget management, and vendor relations.
  • Coordinate the pre-show and post-show promotion with the sales team to generate appointments pre-event and to track the new sales opportunities from each event.
  • Ensure events are executed on time, within budget, and aligned with the company’s brand and messaging.
  • Contribute to the planning process by researching event options and sourcing details that are input into the event plans.

Event Marketing & Promotion

  • Collaborate with the marketing team to develop event promotion strategies, including email campaigns, social media, content, and partnerships.
  • Develop event-specific materials such as presentations, digital assets, signage, and swag, ensuring all materials align with brand standards.
  • Actively participate at the tradeshow booth when traveling to shows.

Stakeholder & Vendor Management

  • Serve as the primary point of contact for internal stakeholders and external vendors, including AV teams, caterers, and technology providers.
  • Work closely with sales, marketing, and customer success teams to align event goals with broader business objectives.

Data & Reporting

  • Measure and analyze event performance, including attendance, engagement, and ROI.
  • Gather feedback and insights to refine event strategies and improve future events.

Budget Management

  • Manage event budgets and expenses to ensure all events are delivered within approved budgets.
  • Track event-related expenses and prepare reports for management review.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Business, or related field.
  • 1-2 years of experience in event management or comparable complex projects
  • Willing and able to travel to support tradeshows.  
  • Demonstrated success in planning and executing virtual and in-person events, or managing complex details and projects.
  • Strong project management and organizational skills, with the ability to handle multiple events and tasks simultaneously.
  • Excellent interpersonal and communication skills, with the ability to work collaboratively across teams.
  • Work in-person out of our Mexico office (with ability to earn 1 day a week virtual after ramping).
