Job Description

Reporting to the Operations Manager of Western Australia your key focus is to strategically plan, coordinate, and implement the schedule in the West Australian business to support the delivery of independent medical assessments and reports.

 As such, each day this role involves:

  • Liaising with Customers, patients, and Consultants to coordinate the delivery of services on an annual, quarterly, monthly, weekly and day-to-day basis
  • Responding to and actioning the day-to-day scheduling and booking queries via phone, Inbox and online booking system 
  • Utilising the scheduling software program to efficiently and strategically coordinate the delivery of services 
  • Providing availability and scheduling advice to the Customer Relationship Manager
  • Working with the Customer Relationship Manager to respond to specific Customer requests
  • Liaising with Specialist Consultants on an annual, quarterly, monthly, weekly and day-to-day basis on availability
  • Supporting with additional service delivery tasks as required including reception duties, invoicing, file preparation and other administrative tasks as required
  • Engagement with Customers, Consultants and colleagues to ensure outstanding service delivery
  • Working within a productive and focused commercial environment to deliver the highest standard of experience to our Customers and Consultants.

Qualifications

To be successful in this role, you would need to have the following experience and qualities: 

 

  • Minimum 5 years’ experience as a planning / scheduling coordination role (or similar) in a medical, health or related industry (or with demonstrable transferable skills and experiences)
  • Demonstrated capacity to think strategically and commercially in a dynamic and complex service delivery environment 
  • Capacity to utilise data to make informed planning / scheduling decisions 
  • A natural orientation towards customer service with a capacity to problem solve and think critically to deliver a quality scheduling outcome for all key stakeholders 
  • Outstanding relationship building skills with exceptionally well-developed emotional and social intelligence 
  • A keen focus on being efficient, productive, and focused with the highest level of attention to detail 
  • Superior verbal and written communication skills including negotiation and influencing skills
  • Advanced technology skills including Microsoft suite skills and capacity to utilise systems and processes to support the coordination of the schedule 
  • A resilient personality with a natural orientation towards working with others positively and respectfully
  • A personal approach which is enthusiastic, friendly and helpful
  • Capacity to independently prioritise while maintaining a high level of flexibility
