Measured Analytics and Insurance is seeking a highly skilled and dynamic high impact Executive Assistant with a digital technology focus to support our Executive Team. This crucial role requires a tech-savvy individual who possesses a strong understanding of key technology tools, including Gusto, Greenhouse, HubSpot, and various other tech-focused applications. The ideal candidate will play a vital role in ensuring the smooth operation of our company and will contribute significantly to our efficiency and success.
Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling appointments, organizing meetings, and handling travel arrangements efficiently.
- Onboarding and Offboarding: Assist in the seamless onboarding process for new hires, ensuring they have all necessary equipment, access to relevant tools, and an overall smooth integration into the company. Additionally, support the offboarding process when employees leave the company.
- Password Management: Oversee password assignment and management for company systems and accounts, ensuring a secure and streamlined process.
- Efficiency and Process Improvement: Take a proactive approach to identify areas for efficiency improvement within the organization and develop streamlined processes for routine tasks, such as organizing digital files, locating documents quickly, and setting up digital signatures for contracts.
- Data Management: Organize, maintain, and manage digital files and data, ensuring accurate and up-to-date information is easily accessible to relevant team members.
- Vendor Management: Collaborate with external vendors and service providers, ensuring smooth coordination and communication.
- Communication Liaison: Act as a key point of contact for internal and external communications, handling inquiries and correspondence with professionalism and attention to detail.
- Confidentiality and Privacy: Maintain the highest level of confidentiality and discretion when handling sensitive information or privileged communications.
- Tech Tool Expertise: Demonstrate expert knowledge and proficiency in using essential technology tools, such as Gusto (HR and payroll software), Greenhouse (applicant tracking system), HubSpot (CRM), and other relevant applications used within the organization.
Qualifications
Requirements:
- Proven Experience: Minimum of 2 years of experience in an office manager, executive assistant role or similar detail-oriented administrative position, preferably within the technology or insurance industry.
- Tech Proficiency: Demonstrated expertise in using essential technology tools, including Gusto, Greenhouse, HubSpot, and other relevant applications. Ability to quickly adapt and learn new tools as needed.
- Organizational Skills: Exceptional organizational skills with a keen eye for detail, capable of managing multiple tasks and priorities efficiently.
- Problem-Solving: A resourceful and proactive problem solver who can handle challenges with a positive attitude.
- Communication: Strong written and verbal communication skills, able to communicate effectively with team members at all levels.
- Tech-Savviness: A passion for technology and an eagerness to explore and implement new digital solutions.
- Collaboration: Excellent team player who can collaborate effectively with cross-functional and remote teams.
- Flexibility: Ability to adapt to a dynamic startup environment and be willing to take on new responsibilities as the company grows. Must be available beyond traditional 9 – 5 hours.
Additional Requirements:
- At least 2 years of experience as an officer manager, executive assistant or related field, with a proven track record of developing and implementing successful brand strategies.
- Demonstrated experience in a start-up or fast-paced environment, with the ability to multitask and manage competing priorities effectively.
- A growth mindset, always seeking innovative ways to elevate the brand and achieve business objectives.
- Excellent communication and collaboration skills, with the ability to work effectively with cross-functional teams and external partners.
- Tools used should include (among others): PowerPoint, Outlook, Gusto, Guideline (401k), HubSpot, and Click Up.
