Job Description

Role description: 

Your responsibility is to perform a variety of administrative tasks. You will provide support to the Head of Business Administration and the Country Manager acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various tasks. Essentially, the Administrative Assistant should be able to perform, coordinate and oversee administrative duties while providing an extensive level of support. 

Tasks and responsibilities: 

  • Handle phone calls in a professional manner and direct calls to appropriate persons and take detailed messages when required; 

  • Processing and directing mail and incoming packages or deliveries; 

  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing etc.; 

  • Welcome and direct visitors & office guests appropriately; 

  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential tasks, and meet critical deadlines; 

  • Monitor office supplies and stationary; order and re-stock as needed; 

  • Preparing and editing correspondences and reports when required; 

  • Preparing documents for meetings; 

  • Booking travel arrangements, including hotel-flights-cars etc. for management and staff members; 

  • Supports different departments when required.

This vacancy is open to strengthen our team in Tunisia (branch office of Mazarine Energy).

Qualifications

  • Bachelors’ degree in Business Administration; 

  • 3-4 years’ experience as an Administrative Assistant; 

  • Knowledge of office-management systems and procedures;  

  • Proficiency in English and French, both verbal and in writing; 

  • Fast and accurate typist; 

  • Work effectively without supervision or guidance; 

  • Proficiency in MS Office (MS Excel and MS PowerPoint);  

  • Very good time management skills and the ability to prioritize work and meet deadlines;  

  • Attention to detail and a high level of accuracy and confidentiality; 

  • Good written and verbal communication skills; 

  • Good organizational skills with ability to multi task.
