About the Role:
This is a pivotal role for an experienced and ambitious Executive Assistant who thrives in an agile environment and is passionate about enabling senior leaders to focus on what matters most. You will act as a trusted partner to key executives, ensuring priorities are clear, time is optimised, and strategic objectives are advanced. You will be responsible for managing complex schedules, anticipating needs, and creating space for leadership to focus on high-impact work.
This is a career-shaping opportunity to work at the centre of Australia’s largest plaintiff law firm, gaining exposure to decision-making at a senior level. You’ll have scope to use your initiative and business acumen to streamline processes, identify bottlenecks, and leverage technology to improve workflows.
What you will do:
Administrative Support:
- Provide high-quality, confidential administrative support and project coordination whilst managing competing priorities.
Meeting Coordination:
- Plan and coordinate meetings, prepare briefing materials, and ensure executives are well-informed for discussions and decisions.
Strategic Support:
- Enable leaders to focus on high-impact priorities by managing workflows and anticipating needs.
Stakeholder Liaison:
- Act as a key point of contact, engaging confidently with stakeholders across the organisation and externally, maintaining strong professional relationships.
Action Item Monitoring:
- Track and update action items from executive meetings, ensuring follow-up and completion.
Document Management:
- Draft, edit, and distribute correspondence, documents, and presentations with a high level of professionalism and attention to detail.
What we’re looking for:
Experience:
- Proven experience as an Executive Assistant supporting senior leaders in a complex, fast-paced environment.
Organisational Skills:
- Highly organised with the ability to multitask and work independently, planning and coordinating across people and projects.
Technical Literacy:
- Strong Microsoft Suite skills, with an interest in leveraging AI and other tools to improve productivity.
Communication Skills:
- Exceptional interpersonal skills and the ability to build rapport with stakeholders at all levels.
Analytical Skills:
- Ability to connect the dots, solve problems, and exercise sound judgement, including knowing when to escalate.
Confidentiality:
- High level of discretion and ability to manage sensitive information with professionalism.
