Job Description
The Event Coordinator provides the Hospitality team with guidance and support in organizing meetings, conferences, and events throughout the year for internal and external partners, making these gatherings consistently efficient, cost-effective, and memorable. This role demands a creative, business-driven mindset and lasting relationships with vendors.
Key Accountabilities
- Coordinates with building management to ensure proper functioning of all building facilities, ensures the daily efficient operation of office spaces, including employee lounges, department desk moves, boardrooms, building maintenance, deliveries, and storage. (this overlaps events hosted internally)
- Accurately compile and organize data from various sources, ensuring all metrics are updated and correctly formatted in Excel spreadsheets for management review.
- Apply formulas, pivot tables, VLOOKUPs, and conditional formatting to analyze data and create comprehensive reports that support decision-making processes within the organization.
- Regularly audit and cross-check information in Excel reports against source data, promptly addressing any discrepancies to maintain the highest level of accuracy and reliability in all
- Additional duties as assigned by management to meet business needs.
- A-Z of planning events (corporate/client/fundraiser/private functions etc.)
- Securing venues, planning out the Masterfile, allotted budget, theme, attendants, RSVP tracking, tracking cut-off dates, due payments, site visits, creating floor plans/layouts
- Taking lead communicating with our local vendors (coordinating, confirming details, payment methods etc.)
- Knowledge of performance monitoring methods for events and the ability to create reports to guide future event coordination improvements
- Research vendors and make selections based on their creativity, quality, and cost
- Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics
- Develop content for event materials and work with graphic designer to produce
- Hire personnel as needed across all functions of an event (ex: registration, setup, catering, audio/visual needs)
- Handle day-to-day administration of events and programs, including order placements, BEO reviews, vendor monitoring, attendee participation, registration counts, and issues resolution
Qualifications

- College/Certificate completion in related field an asset.
- Ability to multitask and perform under pressure
- Ability to meet deadlines
- Soft skills such as empathy, active listening, critical thinking, problem solving
- Demonstrates outstanding interpersonal, time management and problem-solving skills.
- Strong organizational skills and attention to detail.
- Independent self-starter with the ability to work as part of a team.
- Available for occasional work in the evening and weekends.
- Valid driver's license required – and a vehicle (preferred).
- Event planning experience preferred
- Proficient in MS Office
- Bilingualism (English and French) is a requirement.
- Proficient in Photoshop/illustrator, an asset
