Job Description

The Events Coordinator will coordinate the planning, implementation, and sales, marketing and communication support of MLSE Foundation Signature events. The successful candidate will provide high-level customer service to all internal and external stakeholders


  • Support the development, planning, sales and execution of 4 signature as well as other foundation events as directed
  • Create unique sponsorship opportunities and develop strategies to attract new sponsors
  • Provides support on planning and implementing fundraising and operational elements of each event including; sales, coordinating with guests, stakeholders and partners
  • Develop post event reports ex: Thank you emails, sponsorship fulfillment reports
  • Provides support for updating the budget, critical paths and briefing documents
  • Works with internal Marketing & Communications Department to develop plan, design, review and approve event communications
  • Build and maintain event manuals, communications
  • Responsible for keeping Manager up to date with projects and managing timelines with stakeholders
  • Assists in finding creative ways to save costs and find efficiencies where possible to increase net return
  • Supports team and event participant fundraising including ongoing communication and tech support to ensure optimal fundraising
  • Conduct post-event debriefs, event analysis and reporting to assess the ROI and effectiveness of events and provide data for future decision

You’re a great fit for this job if:

  • Successful completion of a post-secondary diploma program in hospitality and tourism, event management, communications, marketing and public relations or a related field and a minimum of 3 years of relevant work experience
  • You have experience coordinating large events, preferably in the corporate, not-for-profit or public sector where there are inter-departmental systems and relationships
  • You have experience in all aspects of an event, including budget management, pre-event planning, event oversight and post-event reporting
  • Your attention to detail is unmatched, can organize, manage time optimally and multitask.
  • Ability to produce quality work in a fast-paced environment with frequent interruptions.
  • Excellent organizational and administrative skills required to maintain budgets, coordinate pre-event planning, oversee event logistics, complete post event activities and to prioritize various assigned tasks to meet established deadlines.
  • Strong oral and written communications skills.
  • Excellent computer skills using Google Suite of products, MS Word, Excel and PowerPoint, as well as experience using social media platforms to promote events.
  • Available to work evenings and weekends, as the need arises.
  • Ability to work in compliance with the provisions of the Occupational Health & Safety Act.
  • You have strong critical thinking skills and can use them to work strategically. You are great at identifying efficiencies and creating processes that enable us to work smarter.
  • You interact with diverse communities and a wide roster of supporters, stakeholders and donors with high energy and professionalism.

Extra things that can support your application:

  • Knowledge of Canadian Charity laws, ethics and CRA regulations.
  • Previous experience working with Salesforce and other donor database systems.
  • Post-Secondary education in events, fundraising and/or sports management.
  • Experience in working with Salesforce and Neon
