Job Description

Workforce Management & Scheduling at MLSE is a centralized scheduling department in HR that manages scheduling, time and attendance, and labour for over 3000 hourly unionized and non-unionized employees. We are also the administrator of Workforce, MLSE’s web-based hourly time and attendance system. We work with employees and leadership from almost every department in the company, giving you incredible insight into the operations of MLSE. Our work is essential to ensuring every Maple Leafs, Raptors, Argos, TFC, Marlies and Live event is resourced and ready to provide extraordinary moments for fans.  

As a Workforce Management & Scheduling Coordinator you will be a key support for operational leaders in your dedicated client teams. You’ll learn their operational needs so you can coordinate the administration of their schedules, time and attendance, assist with labour planning and analysis, be consulted on application of CBA rules, and be the first point of contact for basic HR transactions.   

Responsibilities

  • Coordinating with operations teams to determine day-to-day scheduling needs, including management of internal scheduling processes, implementation, and documentation.
  • Communicating with a team of hourly administrators to ensure schedules are created accurately and on time, and that absences are properly tracked and replaced as necessary.
  • Maintenance of a monthly event listing; the creation and publishing of event calendars for hourly employees that indicate shift start and end times, number of employees needed, and location of shifts.
  • Annual, monthly and ad-hoc attendance reporting, and any other CBA mandated reporting.
  • Maintenance of seniority lists.
  • Creation of annual hourly labour budget and monthly analysis of actual labour spend versus planned labour spend.
  • Understanding of collective bargaining agreements and application of schedule, pay, and attendance clauses.
  • Customer service support for hourly employee voicemail and email.
  • Training and support for Workforce software at both the employee and manager level.

Qualifications

  • 2-3 years of scheduling experience, preferably in a unionized environment. You have a team player mentality with an outstanding work ethic and unflappable positivity.
  • Exceptional prioritization skills and you are comfortable with priorities that could shift multiple times a day.
  • A creative problem solver and can manage conflicting priorities.
  • A proactive approach to day-to-day tasks and projects, demonstrating initiative and independence.
  • Experience working with collective bargaining agreements an asset.
  • Knowledge of Workforce Software a strong asset.
  • Strong interpersonal and business communication skills, with the ability to forge stakeholder relationships.
  • Intermediate Excel skills, comfortable with Outlook and managing heavy email volume. Beginner knowledge of Power Point.
  • Experience working with collective bargaining agreements an asset.
  • Available to work evenings, weekends and holidays as required.
