HR Administration Specialist (m/f/o)

The role of HR Administration Specialist will cover all aspects of Human Resources administration over the full employee life cycle, and assist with day-to-day operations of the HR function and duties.

Typical tasks to be performed include:

Talent Acquisition & Mobility

  • Contribute to full cycle of recruitment campaigns, onboarding, welcoming, orientation, integration of new team members
  • Contribute to coordination, implementation of mobility solutions in cooperation with internal stakeholders and external providers
  • Assist in visa, work permits and all related aspects
  • Support and contribute as specialist in view of labor law, social security and tax regulations, immigration

Compensation, Benefits & Time

  • Payroll preparation
  • Support HR accounting
  • Working time and leave administration
  • Execute and administer relevant tasks in view of market stakeholders, such as social security, tax authorities and labour / employment agency.
  • Support to HR analytics and controlling
  • Support to promotion and mobility of personnel

HRIS, Coordination, Documentation & Data

  • Administrative support and contact point for personnel
  • Prepare contracts, agreements and all relevant documents and execute relevant tasks in collaboration with internal and external stakeholders
  • Storage, administration and maintenance of personnel records and files
  • Contribute to preparation and update of all relevant HR templates, guidelines, processes
  • Data entries, administration and accuracy maintenance of master and variable data in HRIS and relevant systems
  • Support HR reporting
  • Administration and execution of offboarding process

Training, LMS, People Development

  • Training and LMS administration and coordination
  • Support people development measures and initiatives 

HR Projects, Excellence & Quality

  • Support and contribute to HR projects such as for employee benefits, continuous improvement, employer branding and digitization
  • Contribute to administration and improvement of existing tools and processes
  • Support implementation of new tools and processes

General Tasks

  • Assist and support the Head of Human Resources for all related topics
  • Other tasks and duties assigned by manager(s)
  • Temporarily or permanently performing other reasonable and equivalent duties.

Qualifications

Ideal candidate profile and qualities:

  • 1 - 3+ years experience in similar position
  • Education: Vocational training (apprenticeship), bachelor’s degree, or equivalent proven background in Human Resources administration
  • Strong knowledge of tax, labor & social security laws for Luxembourg & cross border countries
  • Good knowledge of payroll areas or experience as a payroll specialist would be a competitive advantage
  • Good knowledge of recruitment areas or experience as a recruitment specialist would be a competitive advantage
  • Working knowledge of mobility implementation with other EU countries is considered an asset
  • Excellent sense of human resources policies and procedures
  • Excellent command of MS Office Suite
  • Working knowledge of Power-Bi or similar analytics is considered an asset
  • Working knowledge of Inteclux Software Suite is considered an asset
  • Willingness to learn new tools and systems
  • Excellent sense of responsibility and confidentiality
