Job Description

The Resource/Traffic Manager will support the Project Management Office, at Luckie, with efficiently managing talent availability and utilization across all accounts & projects. This role will report directly to the VP, Delivery and partner closely with all project managers, account managers and department leaders within our organization.

Here’s what you’ll do:

The Resource/Traffic Manager has three areas of responsibility (specific duties of each are explained below)

Planning, Analyzing, Evaluating

  • Works with project managers and functional leads to assess talent needs, acts as point of contact to book and confirm resources.
  • Able to recognize internal project needs or risks.
  • Able to match team members against project needs.
  • Manage and resolves resource booking conflicts.
  • Manage resourcing forecast spreadsheets for all departments based on input from weekly meetings with Project Management team.
  • Assists in locating freelance/contracting talent across multiple departments
  • Maintain constant knowledge of current and upcoming projects and business development activities as they relate to resourcing.
  • Monitor day to day project activities and resourcing, identifying potential instances of underutilization and actively work with department leads to address and solve those issues.
  • Recommend process improvements for Resource Management and agency workflow.
  • Responsible for monitoring overall utilization.
  • Work to resolve any issues regarding under or over allocations of current staff members.

 

Team Leading, Coordinating, Managing

  • Manages and produces appropriate reporting and analysis associated with effectively managing all resources across departments.
  • Schedules and runs all resourcing meetings with Project Management and facilitate resourcing issues / conflict resolution.
  • Meets, individually, with departmental and account/project leaders, on a weekly basis, to proactively assess resource needs.
  • Serve as liaison between internal stakeholders around shifting priorities or scheduling conflicts.
  • Maintains communications with appropriate agency and client personnel to ensure positive workflow. Escalating exceptions and issues to Director level as required.
  • Champion internal systems for higher productivity working.

 

Financial & Administrative

  • Partner with Human Resources to support “new hire” paperwork for employees.
  • Track and manage freelance “bench” support.
  • Manages freelancer/contractor invoices to ensure they are routed appropriately within account/project management and finance.
  • Support monthly billing process, where appropriate, as it relates to freelance resource utilization.

 

Here’s what we’re looking for:

  • At least 1 year of experience managing cross-functional teams’ resourcing needs within a Creative and/or Agency environment.
  • Bachelor’s degree required.
  • Competent knowledge around the delivery of multiple marketing solutions: website design & development, marketing campaigns, print, digital, and social media, etc.
  • Strong communication, organization, and follow up skills.
  • Leads an effective and efficient discussion, ensuring discussions stays on track and lead to a solution and/or clear next steps.
  • Exhibits strong listening skills and the ability to tactfully communicate position on relevant issues to reach team consensus.
  • Effective problem solving and negotiation skills to mitigate conflict or risk.
  • Competent understanding of project management methodology.
  • Proficient with various PM tools (Workfront, Jira, etc.).
  • Strong attention to detail with the ability to multitask across multiple projects.
  • Positive, team-player attitude.
