Job Description

  • Greet and welcome guests at arrival at the office.
  • Direct visitors to the appropriate person/ room.
  • Answer, screen and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort and distribute daily mail/deliveries and maintain track record via courier portals.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor log-book, issue visitor badges)
  • Preparing a budget for front desk in coordination with Admin team on annual basis.
  • Prepare a calendar of Annual events and provide recommendations and support on the planning of events.
  • Ensuring welcome packs, employee gifts, customers gifts are being arranged and dispatched timely.
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings for Executives.
  • Arrange travel and accommodations for domestic travellers.
  • Perform other clerical reception duties such as filing, photocopying, scanning of documents and faxing.
  • Arrange gate-pass and other relevant approvals for in/out of office assets/ bulky/ bulk items.
  • Sending out employee communications such as birthday/ work anniversary emails and other informative communications with HR approval only.

Qualifications

  • Bachelor’s in administration/ B.com
  • 2-3 years’ experience in similar role.

Additional Information

  • Ability to coordinate between departments and operating units in resolving Administrative and operational problems.
  • Good communication skills both, written and oral.
  • Strong ability to organize and work on multiple tasks simultaneously.
  • Computer literate – Proficient in MS office/Excel.
