Job Description
The HR GBS Specialist - Employee Lifecycle Services (Australia) is responsible for delivering end-to-end Employee Lifecycle services for the Australia portfolio within the Asia Hire to Retire (H2R) Shared Business Services organization.
The role supports employees, managers and HR Business Partners throughout the employee lifecycle by delivering accurate, timely and customer-focused HR operations while ensuring compliance with global standards and Australian employment requirements. Working closely with other H2R specialists, the position contributes to service excellence through process standardization, knowledge management, continuous improvement and effective collaboration across the Asia Shared Business Services organization.
Main Responsibilities
Employee Lifecycle Administration
- Deliver end-to-end Employee Lifecycle services for the Australia portfolio, including:
- Employment data maintenance in Workday
- Processing employment changes
- Employment contract preparation and amendments
- Employee document management and retention
- Leave administration, including family leave and sick leave processing
- Processing employee status changes
- Employee record updates and validations
- Employee documentation and correspondence
- Offboarding administration and documentation
- Exit process coordination
- Employment certificate preparation
- HR compliance documentation
- Employee file maintenance
Employee Case Management
Provide operational support for employee and manager inquiries by:
- Managing HR service requests and cases
- Resolving standard Employee Lifecycle inquiries
- Coordinating with HR Business Partners and Centers of Excellence on non-standard cases
- Ensuring timely communication and resolution
- Escalating complex or policy-related cases where appropriate
- Identifying recurring issues and recommending process improvements
Operational Excellence
Support operational excellence by:
- Identifying opportunities to simplify Employee Lifecycle processes
- Improving service quality and consistency
- Supporting automation initiatives
- Standardizing operational practices
- Contributing to knowledge sharing across the Asia H2R team
- Supporting implementation of process improvements
Benefits Administration:
Deliver operational support across global and local Benefits processes, including:
- New hire benefit enrolment
- Life event administration
- Annual enrolment campaigns
- Eligibility validation
- Benefits documentation review
- Employee benefit inquiries
- Vendor coordination
- Benefits reporting
- Survey data preparation
- Standard benefits case management
- Escalation of non-standard benefit cases
Process Documentation & Knowledge Management
Support the Employee Lifecycle process framework by:
- Updating local work instructions
- Contributing to Standard Operating Procedure (SOP) improvements
- Maintaining Knowledge Articles
- Documenting approved Australian process variations
- Supporting knowledge transfer and cross-training activities
- Ensuring operational documentation remains current and audit-ready
Governance & Compliance
Support operational governance through:
- Monitoring Employee Lifecycle SLAs
- Supporting KPI reporting
- Ensuring compliance with approved global processes
- Supporting audit readiness
- Identifying operational risks
- Escalating exceptions requiring policy interpretation or legal review
Buddy Responsibilities:
Primary Buddy:
H2R Specialist, Employee Lifecycle Services (Australia)
Responsibilities include:
- Knowledge sharing.
- Mutual operational support.
- Supporting process changes.
Emergency support may be provided to Singapore and Malaysia Employee Lifecycle services with the purpose of operational excellence and knowledge build and expertise.
Decision Making:
Has authority to:
- Prioritize Employee Lifecycle activities within the Australia portfolio
- Resolve standard Employee Lifecycle cases independently
- Recommend operational improvements
- Recommend updates to local work instructions and Knowledge Articles
- Escalate complex employment, compliance or policy matters requiring specialist review
- Contribute to continuous improvement initiatives
Experience
- 2–3 years of experience in HR Operations, Employee Lifecycle Administration or HR Shared Services within a multinational organization
- Experience managing end-to-end employee lifecycle transactions
- Experience working with Workday or comparable HCM platforms
- Experience supporting employee case management and HR service delivery
- Experience supporting Australian HR operations or Australian employment practices is highly desirable
- Experience within a Shared Services or Global Business Services environment is preferred
- Demonstrated ability to manage multiple priorities while maintaining accuracy and excellent customer service.
Education
- Bachelor’s degree in Human Resources, Business Administration, Law, Psychology or a related field, equivalent experience will also be considered
- Lean, Six Sigma or HR certifications considered an advantage

Builds and maintains effective working relationships with the Asia Service Delivery Lead, HR Business Partners, Local HR teams, HRIS, Payroll, Global Process Owners and Centers of Excellence to ensure efficient and compliant Employee Lifecycle service delivery. Collaborates closely with the Australia Talent Acquisition Specialist to provide a seamless transition from candidate to employee and partners with internal stakeholders to resolve operational issues and continuously improve employee experience. Where required, works with external service providers and government authorities in support of employment administration and compliance activities.
