JOB DESCRIPTION
The HR GBS Specialist – Talent Acquisition (China) is responsible for leading the operational delivery of Talent Acquisition and Onboarding services for the China portfolio within the Asia Hire to Retire (H2R) Shared Business Services organization.
The role is accountable for delivering an efficient, high-quality and customer-focused recruitment and onboarding experience while ensuring compliance with global standards and local regulatory requirements. Acting as the process owner for the Recruitment and Onboarding process family, the role drives process standardization, maintains operational documentation and identifies opportunities to simplify, automate and continuously improve service delivery.
As one of the operational experts within the Asia H2R organization, the role coaches colleagues, supports business continuity through the Buddy Model and contributes to the ongoing development of the Shared Business Services operating model.
Main Responsibilities:
Talent Acquisition
Lead the end-to-end operational delivery of Talent Acquisition activities for the assigned China portfolio, ensuring recruitment activities are delivered accurately, efficiently and within agreed service levels, including:
- Job requisition creation and validation
- Job posting and advertisement management
- Candidate sourcing through approved channels
- Candidate screening and shortlisting
- Interview scheduling and coordination
- Hiring manager coordination
- Candidate communication throughout the recruitment lifecycle
- Offer preparation and approvals
- Offer presentation and negotiation support
- Offer acceptance and pre-employment activities
- Recruitment administration
- Recruitment case management
- Recruitment reporting
Onboarding:
Own the operational onboarding process:
- Pre-boarding coordination
- Employment documentation
- Employee record creation in Workday
- Onboarding checklist management
- Day 1 readiness
- New hire documentation
- Probation administration
- Start date management
- No-show management
- Revised start date processing
- Coordination with Payroll, HR and IT where applicable.
Operational excellence
Support the continuous improvement by:
- Identifying process improvement opportunities
- Supporting recruitment standardization initiatives
- Reducing manual activities
- Improving recruitment cycle times
- Supporting implementation of automation initiatives
- Sharing recruitment best practices across the Asia team
Governance:
Support operational governance by:
- Monitoring SLA achievement.
- Reviewing recruitment KPIs.
- Supporting audit readiness
- Ensuring compliance with approved recruitment processes
- Escalating operational risks
- Supporting workforce planning activities
Buddy Responsibilities:
Primary Buddy:
H2R Specialist – China Talent, Learning & Benefits
Responsibilities include:
- Knowledge sharing.
- Mutual operational support.
- Supporting process changes.
Emergency support may be provided for Asia other countries Talent Acquisition with the purpose of operational excellence and knowledge build and expertise.
Decision Making:
Has authority to:
- Prioritize recruitment activities across China
- Manage standard recruitment and onboarding cases independently
- Recommend recruitment process improvements
- Recommend updates to local work instructions and Knowledge Articles
- Escalate complex recruitment, offer or compliance matters
- Support operational prioritization based on business hiring needs
Experience:
- 3–6 years of experience in Talent Acquisition, Recruitment Operations
- Experience supporting end-to-end recruitment within a multinational environment
- Experience coordinating interviews, offer management and onboarding activities
- Experience working with Applicant Tracking Systems (ATS) and Workday Recruiting or comparable HCM platforms.
- Experience supporting China recruitment is highly desirable
- Experience operating within Shared Services or Global Business Services is preferred.
- Demonstrated ability to manage multiple recruitment activities while maintaining excellent customer service and operational accuracy
Education:
- Bachelor’s degree in Human Resources, Business Administration, Law, Psychology or a related field, equivalent experience will also be considered
- Professional recruitment certification or HR qualification considered an advantage

Key Stakeholder Relationships
Builds and maintains effective working relationships with the Asia Service Delivery Lead, Hiring Managers, HR Business Partners, Local HR teams, HRIS, Payroll, Talent Acquisition CoE and other H2R process owners to ensure the effective delivery of recruitment and onboarding services across China. Works closely with the Employee Lifecycle & Benefits Specialist to provide a seamless employee onboarding experience and collaborates with recruitment agencies, background screening providers and other external partners to support hiring activities and deliver an excellent candidate experience.
