JOB DESCRIPTION

The HR GBS Specialist, Employee Lifecycle & Benefits (Singapore and Malaysia) is responsible for delivering high-quality Employee Lifecycle, Employee Inquiry, Document Retention and Benefits Administration services for the Singapore and Malaysia portfolio within the Asia Hire to Retire (H2R) Shared Business Services organization.

The role acts as the main operational HR Services contact for Singapore and Malaysia, ensuring accurate, timely and customer-focused support to employees, managers and HR stakeholders. It supports the consistent execution of standardized global H2R processes while ensuring that approved local requirements and country-specific practices are properly reflected in day-to-day delivery.

This position plays an important role in maintaining service continuity by combining strong operational ownership with broad process knowledge across lifecycle, benefits, inquiries and documentation.

Main Responsibilities  

Employee Lifecycle Administration

Deliver end-to-end Employee Lifecycle services for Singapore and Malaysia, including:

  • Employment data maintenance in Workday
  • Processing employment changes
  • Employment contract preparation and amendments
  • Employee document management and retention
  • Leave administration, including family leave and sick leave processing
  • Processing employee status changes
  • Employee record updates and validations
  • Employee documentation and correspondence
  • Offboarding administration and documentation
  • Exit process coordination
  • Employment certificate preparation
  • HR compliance documentation
  • Employee file maintenance

Employee Inquiries & Case Management

Support employees, managers and HR stakeholders by:

  • Managing standard HR inquiries and service requests
  • Responding to employee lifecycle and benefits-related questions
  • Triage and resolution of standard HR cases
  • Escalating complex or non-standard cases to HRBP, CoE or relevant stakeholders
  • Tracking cases through to completion
  • Identifying recurring questions and supporting Knowledge Article updates
  • Maintaining a responsive and customer-focused service experience

Benefits Administration

Deliver operational benefits administration support for Singapore and Malaysia, including:

  • New hire benefits enrolment
  • Life event benefits changes
  • Annual enrolment administration
  • Eligibility validation
  • Benefits documentation review
  • Employee benefit inquiries
  • Vendor coordination
  • Benefits reporting
  • Standard benefit case resolution
  • Escalation of non-standard benefits cases to the appropriate CoE or local HR stakeholder

Ensure benefits administration is accurate, timely and aligned with global standards, local market practices and approved plan rules.

Document Retention

Support employee document management processes, including:

  • Uploading employee documents to approved systems
  • Maintaining employee records
  • Supporting document retention requirements
  • Coordinating document deletion or purging where required and approved
  • Ensuring documentation is complete, accurate and audit-ready

Operational Excellence

Contribute to continuous improvement by:

  • Identifying opportunities to simplify lifecycle and benefits processes
  • Supporting standardization across Singapore and Malaysia
  • Improving Knowledge Articles and work instructions
  • Supporting automation opportunities
  • Sharing recurring issues and improvement ideas with the SDL and process owners
  • Supporting service quality and first-time-right improvements

Process Documentation & Knowledge Management

Maintain and support process documentation for:

  • Employee Lifecycle
  • Employee Inquiries
  • Benefits Administration
  • Document Retention
  • Offboarding

Responsibilities include maintaining local work instructions, updating Knowledge Articles, documenting approved Singapore and Malaysia process variations, supporting SOP updates and ensuring documentation remains current and usable for cross-training and audit readiness.

Governance & Compliance

Support service governance by:

  • Monitoring SLA adherence for assigned activities
  • Providing KPI inputs where required
  • Maintaining accurate employee and benefits records
  • Supporting audit preparation
  • Escalating operational risks or compliance issues
  • Ensuring activities follow approved global processes and local requirements

Buddy Responsibilities

Primary Buddy:

H2R Specialist, Singapore & Malaysia Talent Acquisition

Responsibilities include:

  • Knowledge sharing
  • Mutual operational support
  • Supporting process changes

Emergency support may be provided to Australia Employee Lifecycle with the purpose of operational excellence and knowledge build and expertise.

Decision Making

Has authority to:

  • Resolve standard employee lifecycle and benefits cases independently
  • Prioritize assigned operational workload
  • Escalate complex or non-standard cases to HRBP, CoE, Payroll or other relevant stakeholders
  • Recommend updates to work instructions and Knowledge Articles
  • Recommend process improvements for Singapore and Malaysia HR Services
  • Support operational decisions within agreed process boundaries

Experience

  • 3–6 years of experience in HR Operations, Employee Lifecycle Administration, Benefits Administration or HR Shared Services within a multinational organization
  • Experience supporting employee lifecycle transactions in a multinational environment
  • Experience handling employee inquiries and HR cases
  • Experience with benefits administration, enrolment processes or vendor coordination is strongly preferred
  • Experience working with Workday or comparable HCM platforms
  • Experience in Shared Services or Global Business Services is desirable
  • Experience supporting Singapore and/or Malaysia HR operations is an advantage
  • Ability to manage multiple processes across more than one country while maintaining accuracy and service quality

Education 

  • Bachelor’s degree in Human Resources, Business Administration, Law, Psychology or a related field, equivalent experience will also be considered
  • Lean, Six Sigma or HR certifications considered an advantage

Interactions/ interface

Builds and maintains effective working relationships with the APAC Service Delivery Lead, HR Business Partners, Local HR teams, Payroll, HRIS, Benefits CoE, Global Process Owners and other H2R process owners to ensure consistent Employee Lifecycle and Benefits service delivery for Singapore and Malaysia. Collaborates closely with the Southeast Asia Talent Acquisition Specialist to ensure smooth onboarding handover and with the Australia Employee Lifecycle Specialist for cross-coverage and shared process learning. Externally, works with benefits providers, HR service vendors and other external partners as required to support accurate and timely service delivery.
