Job Description

The Execution Supervisor supports the Execution Manager in ensuring flawless, timely, and compliant execution of all logistics, documentation, shipment, and operational processes across local, import, and export flows.

The role provides direct oversight of daily execution activities, coordinates with internal and external stakeholders, ensures accuracy of documentation and systems, and takes responsibility for managing operational tasks delegated by the Execution Manager. The Execution Supervisor acts as the primary support and continuity lead in the manager’s absence.

1. Shipment & Operational Management

  • Oversee end‑to‑end execution of shipments (local, export, import), including planning, bookings, container positioning, customs processes, and delivery to ensure timely and cost‑effective movement of goods.
  • Monitor the daily shipment pipeline, anticipate operational risks, and resolve bottlenecks escalated from the Execution Assistant.
  • Support the Execution Manager by taking over or co‑leading internal and external operational meetings (with transporters, shipping agents, surveyors, port authorities) to ensure continuity of communication, decisions, and follow‑up actions.
  • Provide coordination and operational oversight to ensure uninterrupted shipment flow.
  • Support review and tracking of logistics KPIs, transit time performance, and operational efficiency..

2. Documentation & Regulatory Compliance

  • Ensure accuracy, completeness, and compliance of shipping documentation (B/L, COO, Phytosanitary certificates, EFRIS documents, packing lists, sustainability documentation).
  • Support regulatory compliance with MAAIF, URA, port authorities, customs, and international trade standards.
  • Supervise timely execution of inspections, approvals, and customs procedures.
  • Maintain proper document control, filing, and audit-ready records..

3. Cost Control & Financial Accuracy

  • Track operational costs (transport, handling, inspections, shipping charges) to avoid overruns and ensure alignment with negotiated or contracted rates.
  • Review and verify logistics invoices prior to submission for approval.
  • Support reconciliation of freight, inspection, and third‑party payments.
  • Provide early escalation on cost variances and recommend corrective measures

4. System Updates & Stock Movement

  • Ensure all stock movements, splits, transfers, and reconciliations are accurately updated in internal systems (CRM, logistics platforms, MDM).
  • Validate data before monthly and quarterly reporting cycles.
  • Investigate and help resolve discrepancies between physical and system stock.
  • Support preparation or enhancement of execution dashboards and performance reports..

5. ThirdParty Service Provider & Vendor Management

  • Coordinate freight forwarders, shipping agents, transporters, surveyors, and inspection agencies to ensure service quality and compliance with contracts.
  • Monitor performance, turnaround times, and quality of service delivery.
  • Support dispute resolution and ensure accurate processing of payment claims and call‑backs.
  • Provide structured feedback to the Execution Manager for vendor performance reviews..

6. Commercial Contract Execution Support

  • Interpret and apply contract terms (Incoterms, vessel requirements, load obligations, laytime, documentation instructions).
  • Prepare and verify commercial and proforma invoices up to FOB level.
  • Support contract allocation and alignment of commercial documents with contract and financial requirements.
  • Follow up on receivables and required documentation to complete transactions.

7. Stakeholder Coordination & Governance

  • Act as the operational link between commercial, finance, quality, industry, and external partners.
  • Communicate shipment updates, risks, and operational decisions clearly and promptly.
  • Ensure compliance with the company Code of Conduct, internal controls, audit standards, and legal requirements.
  • Represent the Execution function in meetings when delegated by the Execution Manager.

Clear and timely communication with all stakeholders involved in coffee exports is essential to avoid delays and compliance risks.

 

Interactions/ interface:

The Execution Assistant role requires frequent and multi-level interactions across internal teams and external stakeholders to ensure smooth execution of operations.

 

Internal Interfaces:

  • Commercial Team: Coordinate on contract execution, shipment schedules, and pricing details.
  • Finance Team: Align on invoice validation, payment reconciliation, Efris invoicing and insurance claims.
  • Execution Manager & Regional Execution Team: Report progress, resolve operational issues, and ensure compliance with global standards.
  • IT / Systems Team: Collaborate on system updates and troubleshooting discrepancies.

External Interfaces:

  • Transporters & Shipping Agents: Manage freight bookings, track shipments, and resolve logistical challenges.
  • Inspection Agencies: Schedule and approve inspections for prepared lots.
  • Government Authorities (MAAIF, URA, UNBS): Ensure regulatory compliance, EFRIS management, and timely registration of commodities.
  • Insurance Providers: Follow up on coverage and claims for stock in assets.

Qualifications

Education

  • Bachelor’s degree in business administration, Supply Chain, Logistics, International Trade, or related field..
  • Familiarity with Ugandan regulatory requirements, international trade documentation .and Incoterm

Experience

  • 7+ years in execution, logistics, export operations, supply chain, or commodity trading.
  • Experience in agribusiness or East African commodity operations is an added advantage.
  • Strong knowledge of trade documentation, Incoterms, and regulatory processes.
