Job Description

General function description:

The Management Assistant supports the Managing Director and the management team by handling administrative, organizational and communication tasks. Key responsibilities include managing the agenda of the Managing Director, preparing meetings and drafting meeting minutes, handling incoming and outgoing correspondence, making presentations, organizing documents, and serving as the primary point of contact for internal and external stakeholders. The Management Assistant ensures smooth information flow, monitors deadlines, and contributes to the overall efficiency of the management team.


Your missions:

  • Calendar & agenda management: Organizing and coordinating appointments, meetings for the management team.
  • Communication & correspondence: Drafting, editing and managing letters, reports and other communication on behalf of management.
  • Meeting preparation: Preparing meeting materials, creating presentations, taking minutes and ensuring follow‑up on action points.
  • Office & document management: Maintaining files, organizing documentation and ensuring smooth administrative workflows.
  • First point of contact for the managing director: Handling incoming calls, visitors, inquiries and acting as the liaison between the managing director and internal/external stakeholders.
  • Project & task coordination: Supporting ongoing projects, tracking deadlines and ensuring tasks are completed on time.
  • Travel arrangements: Booking flights, accommodations, transportation and preparing travel itineraries of the MD
  • Confidentiality & discretion: Handling sensitive information with professionalism and integrity.

  • Organizational skills: Ability to structure tasks, manage priorities, and maintain an efficient workflow.
  • Communication skills: Strong verbal and written communication, with the ability to interact professionally at all levels.
  • Time management: Skilled in planning, meeting deadlines, and handling multiple tasks simultaneously.
  • Attention to detail: Accurate, thorough, and consistent in administrative and document-related work.
  • Problem‑solving ability: Proactive in identifying issues and finding practical, efficient solutions.
  • Confidentiality & discretion: Trusted to handle sensitive information with integrity and professionalism.
  • Technological proficiency: Comfortable using office software, digital tools, and management systems.
  • Interpersonal skills: Collaborative, service‑oriented, and able to build strong working relationships.
  • Adaptability: Flexible in responding to changing priorities and fast‑paced environments.
  • Initiatives: Able to anticipate needs, take ownership, and support management proactively.
