Job Description

The Office Administrator has a vital role within our Longbridge Financial. The ideal candidate will be responsible for ensuring the smooth and efficient operation of our office in Paramus, NJ. The Office Administrator will be the first point of contact for clients, vendors, and visitors, and will perform a wide range of administrative duties to support the daily activities of the office and Management.
Primary Job Duties:
- Greeting and welcoming clients, vendors, and visitors with a professional and friendly demeanor.
- Answering and directing phone calls to the appropriate staff members.
- Maintaining the reception area, ensuring it is clean, organized, and presentable at all times.
- Receiving, sorting, and distributing incoming mail and packages promptly.
- Preparing and sending outgoing mail and packages as needed.
- Coordinating with courier services for special deliveries and shipments.
- Managing office supplies inventory and placing orders when necessary.
- Assisting with scheduling appointments and managing calendars for staff members.
- Maintaining office records and filing systems, both digital and physical.
- Handling basic bookkeeping tasks such as processing invoices and expense reports.
- Coordinating office events, meetings, and employee activities.
- Responding to inquiries from clients and vendors in a timely and professional manner.
- Resolving any issues or concerns that visitors may have during their visit.
- Ensuring a positive and welcoming experience for all visitors to the office.
- Assisting Chief Operating Officer as needed.
Qualifications
Required Experience:
- Attention to detail, self-motivated, takes initiative
- Proficient in MS Office Excel and the ability to learn new software
- Detail-oriented individual with good organizational ability, with excellent communication skills
- Strong interpersonal skills are a must
- The position is in the Paramus, NJ office, Monday through Friday and the hours are 8:30am – 5:30pm
- Overtime may be required
