Job Description

General Responsibilities:

The Senior Project Manager (Sr. PM) is accountable for successfully executing on strategic project investments through collaboration with key stakeholders, definition/documentation of business problems and opportunities and ensuring project solutions will meet the business case defined in the project initiation document (PID) through the collection and management of project-related requirements. The Sr. PM must be able to independently manage multiple concurrent projects with little to no direction from their supervisor and may need to reconcile vague or conflicting business requirements through conducting interviews with stakeholders. The PM will carefully plan and document the project scope, schedule and budget, monitor project work items to ensure they remain on track, monitor project risks and develop mitigation plans, escalating them to the Head of EPMO when appropriate. For projects with technology deliverables, the Sr. PM is expected to monitor QA testing to completion, develop business testing plans conduct testing with the business and obtain written sign off to proceed to production to ensure the quality of completed work and that project work is compliant with SOX required controls and any other relevant regulatory entities. The Sr. PM will ensure any completed work is successfully adopted by its users by planning and executing plans for training and rollout of completed work by supplying users with vital information about the impact of completed project work and any responsibilities the users will have to adopt completed project work.

Primary Job Duties:

  • Successfully and independently moving project work forward to meet the agreed timelines,
  • Documentation and approval of project scope, schedule and budget by the project sponsor, stakeholders, project team and resource managers.
  • Follow the approved project management process and complete all required project documents including business requirements, wireframes, project plans, budgets, stakeholder lists, risk registers, status meetings, issue logs, plans for training, testing and rollout, communications to end users, executive presentations, release management and deployment plans.
  • Scheduling required meetings with the project team, sponsor or business users, sending meeting agendas in advance, meeting minutes after the meeting and updating the project management documents based on the discussions.
  • Facilitate business requirement gathering sessions and control the requirements management process by creating a common understanding of requirements between stakeholders, communicating critical dates for delivering requirements, understanding critical needs vs. nice to haves and maintaining a single, organized repository of requirements.
  • Plan the project work in advance using a project plan which is updated with the team at status meetings. Develop strategic plans for requirements, testing, training and rollout and ensure shared understanding of these plans with the customer, project team and sponsor.
  • Manage the project team members on their project-related deliverables, identifying and assisting them in overcoming barriers to completing project work and collaborating successfully with the team.
  • Influence stakeholders by understanding their core business needs and articulate to them how the work of the project will help to meet those needs.
  • Determine how to best measure project progress and develop reporting to ensure the project is meeting its scope, schedule and customer satisfaction goals established at project initiation.
  • Continuously identify project risks, create mitigation plans and immediately raise to the EPMO.
  • Assist head of EPMO with developing executive reporting content and helping to answer questions which may arise during presentations.
  • Deliver poised and polished communication during frequent interaction with executive team and key stakeholders.
  • Expedite the completion of open tasks and issues with appropriate level of urgency and methodical use of escalation to management.
  • Flexibility in schedule. Occasionally, overtime, night work and weekend work may be required.
  • Occasional travel may be required to support project rollout or conduct a stakeholder meeting.
  • Ability to attend in person office meetings on occasion is a plus.

 

 

 

 

Qualifications

 

  • Flexibility in project management approach and ability to follow explicit direction from the Head of EPMO when it is provided.
  • Detail-oriented. Ability to understand and articulate complex with appropriate level of granularity (e.g. can attend a technical team meeting and can succinctly communicate a technical issue/solution to Head of EPMO).
  • Effective problem solving through understanding of complex issues and ability to develop creative workarounds.
  • Build relationships with and influences key stakeholders; manage stakeholder resistance.
  • Experience managing vendor deliverables under time and materials and fixed scope contract and understanding of the inherent risks associated with these agreement types.
  • Eight years of professional project management experience.
  • Experience delivering large projects with infrastructure and software components.
  • Six years of experience authoring technical business documents such as user manuals, business requirements documents and PowerPoint slides.
  • Familiarity with Mortgage software, tools and processes preferred
  • Need to be able to run projects and meet target dates without the Head of EPMO attending all meetings or being copied on every email.
  • Clear and understandable speaking and writing capabilities.
  • Technology interest and ability to quickly learn and adapt to new technologies and tech tools.
  • Experience navigating Microsoft SharePoint and Teams document repositories.
  • Advanced proficiency in Excel, PowerPoint, Word, and Visio required
  • Bachelor’s, master’s degree in business or technology
  • Formal project management training preferred
