Job Description
The Facilities Coordinator provide world class service with primary responsibility for providing general facility support including continuous monitoring of facility appearance and operations. Must be familiar with standard concepts and practices of office services (reception, mail/distribution, supplies, copy rooms, conference rooms). You should demonstrate the ability to organize and prioritize multiple tasks, effectively manage through stressful situations and consistently make effective, high quality decisions. The right candidate must be driven to provide excellence in service and support of all staff and visitors by taking on duties with a sense of ownership, accountability, confidentiality, and integrity and step in to help whenever and wherever necessary.
Responsibilities include:
- Kitchens: keep areas clean, organized and stocked at all times; load/unload dishwashers throughout day as necessary
- Keep copy stations operational, stocked and free from clutter at all times.
- Process all incoming and outgoing mail, packages and deliveries.
- Responsible for creating, tracking and resolving work tickets (internal and with building management).
- Maintain up to date and accurate floor plans
- Parking administration (assigning parking space and access cards)
- Inventory tracking and ordering basic office supplies, copier paper, and toner.
- Order various sundries (first aide cabinet, snacks, etc.)
- Ensure conference rooms are clean, tidy and stocked when not in use.
- Assign building access cards
- Maintain vendor relationships and contact when services are needed (plant service, document storage and destruction, TV/Cable/Satellite service, First Aid).
- Work with building management and engineers on maintenance, repairs and service requests
- Assist with installation of pictures and whiteboards.
- Provide backup coverage for reception when needed.
- Assist with office moves and restacks; moving equipment and furniture to various areas.
- Assist a variety of duties and tasks as directed
Qualifications
- Must have excellent interpersonal and communication skills and be sensitive, adaptable, professional, and articulate when dealing with others.
- Must be driven to provide highest level of customer service with “can-do, no job too big/small/unimportant” attitude.
- Knowledge of office services (reception, mail/distribution, supplies, copy rooms, conference rooms) and facilities services (safety HVAC, plumbing, electrical).
- Exercise judgment and discretion with regards to sensitive and confidential matters.
- Must be available for overtime and weekends for special projects and office moves/restacks.
- Professional behavior and appearance at all times.
Skills
- Intermediate Microsoft Office (Outlook, Word, Excel, Visio)
Physical Demands: Ability to walk, stand and sit for periods of time. Must be able to lift, carry and/or move objects up to 60 pounds.
