Job Description

We’re looking for a highly-organized and results-driven Event Coordinator to join our team, working with our Event Services group producing dozens of global B2B conferences and events (in-person, hybrid and virtual) for audiences ranging from 50-20k+ attendees on behalf of our internal clients, ie Linux Foundation Projects. This position reports to the Event Manager and provides support for all activities related to event planning and execution. It also provides valuable operational coordination within the event team and works closely with internal and external stakeholders, sponsors, and third-party vendors to coordinate event logistics. 

What You Will Work On

  • Coordinate event logistics including attendee communications, website management, registration support, childcare, diversity scholarships, attendee swag/merchandise, and security, with additional opportunities to assist with food and beverage, AV, room blocks, signage, space planning, offsite receptions, and more

  • Manage 3rd party/sponsorship events for internal clients including confirming sponsorship levels, finalizing booth details, placing orders, staffing, ordering marketing materials and swag, etc.

  • Work closely with internal cross-functional teams for successful execution of events and to meet event goals and objectives

  • Manage individual budget lines, with focus on negotiation to reduce costs and get the most bang for the buck and keeping event under budget Partner with other members of the events team to collaboratively execute full events

  • Copywriting and proofreading for event materials including website, signage, conference guide, email newsletters, and event services client pitches

  • Work with external vendors on the creation and timely delivery of conference materials where related to responsibilities

  • Provide customer support to attendees and other event stakeholders pre-event and onsite

  • Maintain project tracking tools, ensuring up to date status and adhering to deadlines

  • Handle additional responsibilities assigned by the Event Manager

Qualifications

  • BS/BA degree and minimum 2 years of event management experience, preferably in B2B conference planning or hotel/venue convention services

  • Strong project management skills, including planning, scheduling and communication

  • Flexibility to adapt to changing priorities and new challenges

  • Positive attitude and willingness to learn

  • Detail and deadline-oriented

  • Collaborative, able to work easily with a team

  • Commitment to improving the processes that you manage

  • Must have the ability to manage multiple projects/events in a fast-paced, multi-faceted, creative environment and must be able to work well under pressure

  • Meticulous organizational abilities and concise and effective verbal and written communication are required; high attention to detail

  • Previous experience and/or desire to work remotely; ability to manage tasks, time and schedule with limited supervision

  • Ability to adapt to challenges and opportunities with a solution-oriented perspective; excellent strategic thinking and critical reasoning skills

  • Creative, positive energy, self-directed, amiable, and composed under pressure; helpful and humble

  • Client services and hospitality mindset 

  • Strong computer experience - proven ability to pick up new programs and software quickly

  • Requires overnight and weekend travel, both domestically and internationally, up to 30%

  • Prior experience with Google Docs, Wordpress, Salesforce, Cvent, and Asana

  • Virtual event experience

Additional Information

This position requires overnight and weekend travel to events both domestically and internationally (~25%). This position is remote, and is open to applicants who can work North America time zone standard business hours.
