As a core business unit of LF, the Event Team (composed of 40+ event management, sales and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual and hybrid events.

Job Description

We’re looking for a highly-organized and results-driven Event Planner, Content to join the Event Content team, working across the board with both our internal Linux Foundation & Event Services groups producing dozens of global B2B conferences and events (in-person, hybrid and virtual) around the globe for audiences ranging from 50-20k+ attendees. This position reports to an Event Manager and will support various activities related to each event. The role provides valuable operational support within the content team and works closely with internal and external stakeholders, speakers and sponsors, to coordinate and manage event content & logistics.

What You Will Work On

  • Lead program committees and other stakeholders to drive key deliverables including call for papers (CFP), session scheduling, presentation reviews, and onsite logistics plans; communicate on a regular basis with stakeholders and planning/program committees to meet their needs and specifications
  • Create conference CFPs in the CFP system including: building out each event, assigning reviewers, adding in messaging and topics, and updating websites for 15+ events/year
  • Manage communications to speakers, program committees and reviewers, and organize and host various calls/meetings, as necessary; Manage all aspects of deliverables, project plans, schedules and reporting for assigned content programs including ensuring internal and external stakeholders are aware of deadlines, updating proposal status in the CFP system, modifying abstracts and biographies when required and sending out speaker notifications
  • Handle all content-related speaker inboxes; including questions on how to submit to the CFP, manual entry of submissions in the CFP system, scheduling questions, etc.
  • Work directly with program committee members, reviewers, speakers and internal team members; prepare and maintain conference schedules in scheduling software
  • Handle speaker logistics, coordination and inquiries; support speakers during the submission phase, send speaker notifications, make schedule change requests or cancellations, coordinate co-speakers, gather bios and headshots, and help the events team with any speaker-related details that need to be arranged
  • Compose and proofread event materials including website, signage, speaker guides and other communication pieces
  • Manage the keynote program/room onsite at conferences (up to 10 a year); ‘run the show’ in the keynote room and work closely with speakers, emcee, AV and production teams from set-up to tear down to ensure a successful event
  • Build, manage and maintain all speaker-related content for virtual event platforms, including the management and review of pre-recorded speaker talks, quality control checks of the platform and schedule details, and understanding specific functions and features available for speakers
  • Work closely with internal cross-functional teams for successful execution of events and to meet event goals and objectives
  • Create event project plans, timelines and to-do lists; capable of partnering with other members of the event team on larger events for execution
  • Create new, or update existing processes, documentation, timelines, and to-do lists where it relates to event responsibilities.
  • Provide on-site support for events, including overseeing execution of areas of pre-planning responsibility as well as other tasks as assigned. Regular domestic and international travel will be required, including over weekends.

Qualifications

  • 4+ years of previous event content management experience
  • Strong computer skills required, proficiency in Google Workspace (Gmail, Google Docs, Google Sheets, Drive), WordPress, Adobe products, SurveyMonkey Apply, Asana, Sched.com and Cvent with a proven ability to pick up new software quickly
  • Ability to work on multiple projects at once, set priorities, work proactively and independently, problem solve, improvise, manage conflicting priorities, and function as part of a team that must perform under pressure
  • Ability to collaborate and develop positive business relationships with all cross-functional peers and stakeholders (many of whom are geographically dispersed) including everyone from programmers to C-level executives; Diplomacy, integrity, and presence that enables you to work effectively at all levels
  • Experience in the technical production side of events (e.g., call-for-proposals; virtual event platforms, event apps, etc.)
  • Enthusiastic team player with exceptional communication, writing, project management and interpersonal skills
  • Concise and effective verbal and written communication with strong attention to spelling and grammar
  • Meticulous organizational abilities and high attention to detail with strong editing and proofreading skills
  • Strong ability to collect, compile and format raw data in order to translate it into formats for further use and research
  • Ability to thrive and effectively deliver in a fast-paced, ever-changing environment; comfortable with changing priorities, last-minute pivots, and willing to roll up your sleeves to ‘get the job done’
  • Creative, positive energy, self-directed, amiable, and composed under pressure; helpful and humble

  • Availability to join periodic early AM/late PM calls to accommodate clients and vendors in other time zones.

  • Proficiency with virtual event/webinar/content hosting platforms (e.g., Accel Events, Hopin, MeetingPlay, Vimeo, Zoom, YouTube, etc.) with a proven understanding of system integrations to support the complex technology landscape needed for large-scale digital events
  • Ability to travel, both domestically and internationally, up to 12 times a year for conferences to fill onsite duties
  • Bachelor’s degree
  • Ability to sit or stand for long periods of time
  • Ability to lift and move up to (40) lbs
