Job Description

We’re looking for a highly-organized and results-driven Event Services Manager to join our team, working with our Event Services group who produce dozens of global B2B conferences and events (in-person, hybrid and virtual) for audiences ranging from 50-20k+ attendees on behalf of our internal clients, ie Linux Foundation Projects. This position reports to a Senior Event Manager and directly manages a team of one, but will also work collaboratively with other event team members who manage registration, sponsorship deliverables, web, and content coordination.

The Event Services Manager is responsible for managing events from conception to completion, including developing and implementing event strategies mapping to each project and event’s specific goals and objectives, working closely with external stakeholders, sponsors, and third-party vendors.

What You Will Work On

  • Account manage events that we hold for our own projects, working with the project ‘clients’ and stakeholders (project Executive Directors and staff, project board, marketing and technical committees, and internal cross-functional teams) to drive event strategy and successful execution, meeting goals and objectives

  • Plan, execute and manage all aspects of events and conferences including space planning, food and beverage, AV, production, exhibit design, internet, transportation, offsite reception coordination, registration, and more.

  • Directly manage one Senior Event Coordinator, with the ability to guide, coach, and mentor to grow their own careers

  • Create event project plans, timelines, and to-do lists, ensuring clear communication with stakeholders and team members before, during, and after the planning process for seamless execution

  • Manage 3rd party/sponsorship events for internal clients including confirming sponsorship levels, finalizing booth details, placing orders, staffing, ordering marketing materials and swag, etc.

  • Manage onsite execution of events, both domestic and international

  • Manage external vendor relationships, inclusive of negotiating budgets and contracts

  • Own and manage individual event budgets, with a focus on keeping events at or under budget, and finding ways to maximize event spend.  Responsible for reconciling event expenses and revenue in a timely manner post-event.

  • Copywriting and proofreading of event content and materials including website, signage, conference guide, email newsletters, and event services client pitches

Qualifications

  • BS/BA degree and minimum 6 years of event management experience, preferably in B2B conference planning, producing industry-leading, multi-faceted events with multiple touchpoints

  • Previous experience with the full responsibility of successfully executing a B2B conference with a minimum of 500 attendees with multiple tracks and multiple days, without using an outside agency or DMC

  • Previous experience working with stakeholders/clients to produce events

  • Minimum 2 years of experience in people management 

  • Strong project management skills, including planning, scheduling and communication

  • Flexibility to adapt to changing priorities and new challenges

  • Experience interacting with a wide range of clients - from C-level executives to technical programmers

  • Adept at working on multiple projects and with multiple stakeholders at once, and able to prioritize and make the best use of time

  • Thorough understanding of the event and meeting management process - conception to completion

  • Meticulous organizational abilities and concise and effective verbal and written communication are required; high attention to detail

  • Previous experience and/or desire to work remotely; ability to manage tasks, time and schedule with limited supervision

  • Detail and deadline-oriented, with the ability to adapt to challenges and opportunities with a solution-oriented perspective; excellent strategic thinking and critical reasoning skills

  • Creative, positive energy, self-directed, amiable, and composed under pressure; helpful and humble

  • Client services and hospitality mindset 

  • Strong computer experience - proven ability to pick up new programs and software quickly

  • Requires overnight and weekend travel, both domestically and internationally, up to 30%

  • Prior experience with Google Docs, Wordpress, Salesforce, Cvent, Asana as well as event technologies, virtual platforms and apps

Additional Information

This position requires overnight and weekend travel to events both domestically and internationally (~30%). As our in-person events require COVID-19 vaccinations for participation, the position requires proof of COVID-19 vaccination. This position is remote, and is open to applicants who can work North America time-zone standard business hours.
