Job Description

We’re looking for a highly-organized and results-driven Event Coordinator, Registration to join our team to produce over 150 events each year across the globe. This position reports to the Senior Event Manager, Registration & Operations.

The Event Coordinator, Registration will help the Linux Foundation Event Team continue to scale and deliver high quality, successful events for open source technology communities. As a core business unit of The Linux Foundation, the LF Event Team, composed of 40+ event management, sales and marketing professionals, manages over 150 events and conferences globally each year, ranging in size from 50 to 20k attendees. We host in-person, virtual and hybrid events, and returned to in-person events this September. In 2021, our events gathered over 90k attendees with 6k of those joining in person. 

What You Will Work On

  • Assist Registration team in planning, managing, and executing registration for our events / conferences including launch, pre-event, onsite and post-event registration management, attendee communications, scheduling, shipping/ordering, virtual platform integration, and ongoing attendee/team inquiry support; ability to manage onsite registration for a small to medium event.

  • Support the launch and maintenance of our Cvent registration forms and applicable webpages

  • Assist the registration team in managing external vendor relationships, inclusive of negotiating budgets and contracts. 

  • Assist the registration team in managing individual event budgets, with focus on keeping the event under budget and reducing costs while getting the most bang for the buck, including post-event invoice, reporting, billing, and financial close-out

  • Work closely with internal cross-functional teams where areas overlap to meet event goals and objectives for successful execution of events.

  • Manage the travel fund, visa request, and scholarship process and close-out for each event.

  • Manage the registration event inbox and respond to attendee inquiries

  • Proofread event materials including website, signage, attendee/speaker/sponsor communications.

Qualifications

Who We Are Looking For

  • Prior Cvent Flex experience required

  • BS/BA degree and minimum 2 years of event management experience (specifically, experience must be in one or more of the following areas: managing B-to-B conferences as a corporate planner, at a 3rd party event management firm/agency, or as a convention services manager at a hotel); Previous experience executing conferences without using an outside agency or DMC

  • Prior experience working with a team to produce events

  • Thorough understanding of the event and meeting management process – conception to completion. 

  • Must have the ability to manage multiple projects/events in a fast-paced, multi-faceted, creative environment and must be able to work well under pressure

  • Meticulous organizational abilities and concise and effective verbal and written communication are required; high attention to detail

  • Ability to adapt to challenges and opportunities with a solution-oriented perspective; excellent strategic thinking and critical reasoning skills

  • Creative, positive energy, self-directed, amiable, and composed under pressure; helpful and humble

  • Client services and hospitality mindset 

  • Strong computer experience; proficiency with Office, Google Docs, Adobe products as well as event specific softwares (scheduling management software, mobile apps) - previous experience with Slack, Asana, Basecamp a strong plus.

  • Copywriting, editing and/or proofreading skills

  • Basic HTML knowledge a strong plus

Additional Information

This position requires frequent overnight and weekend travel to events both domestically and internationally. As our in-person events require COVID-19 vaccinations for participation, the position requires proof of COVID-19 vaccination. This position is remote, and is open to applicants who can work North America time zone standard business hours.
