Job Description

This position is responsible for planning, renovation, repair and maintenance of company facilities in Athens.  This role will also be responsible for overseeing the system of record data upkeep, facility maintenance support and procurement training for onsite office management.  

What your day looks like:

 

  • Prepare requests for proposals, summarize responses and vendors for various projects
  • Negotiate contracts with with vendors
  • Coordinate vendor preparation of due diligence forms for submission to the regulatory compliance department and then manage the process of successfully obtaining approvals from the regulatory compliance department for such applications
  • Plan and manage contracts to meet project milestones and complete projects on time and on budget
  • Ensure the system of record “ProLease” is maintained real time for the following (Lease admin, taxes, vendors, contacts, seating charts, drawings..etc).
  • Provide procurement training for all local employees and ensure all processes are followed.
  • Work with Local Authorities and Corporate Facilities Team to ensure the regulatory  as well as Company Standards are being met.
  • Maintain updated KPI and Metrics for your region.

Business Continuity Planning

  • Be available as required at any time in the event of the BCP being invoked and to deal with the incidents / events leading up to this point.
  • Support as required in the implementation and recovery phase of the Facilities element of the firm's Business Continuity Plan.  This may include liaising with all Facilities contractors and sub-contractors.
  • Participate in regular testing of the local Facilities Service Business Continuity Plan ensuring full understanding at local office level. 

Finance Management

  • Prepare, agree, and manage own operational budget and cost recovery in accordance with finance guidelines. 
  • Produce reports/statistics on throughput/performance and such other reports as may be required from time to time.

General responsibilities:

  • To ensure compliance with statutory and corporate legislation, policy and other requirements for both directly managed and contracted services including Health & Safety, Document Services, Food Services, ISO 9001, 14001 and 27001.
  • Fully support the implementation and ongoing requirements of LnW ISO standards. Ensure all areas of Facilities Services are compliant with relevant policies and procedures, and where appropriate, actively contribute to continuous improvement programmes.

Qualifications

Required Experience:

  • At least 5 years in the facilities industry

Knowledge, Skills, & Abilities:

  • A “can do” attitude 
  • Skilled negotiator of contracts
  • Goal oriented, outgoing with strong interpersonal/teamwork skills and high integrity
  • Initiative, creativity, analytical and problem solving skills
  • Customer service focused; ability to communicate with all levels of personnel, including to the Executive Team and Chief Executive Officer
  • Flexibility to work with team members in different time zones, as necessary
  • Knowledge of Microsoft Office suite of software, including Microsoft Project required, and Oracle ERP suite desirable
