We are seeking a dedicated professional for our Dallas office who will take on a dynamic role in client care coordination. This individual will be the ultimate liaison between the physician and client while providing full support to both and ensuring that procedures, communications and systems are maintained and up to date. The goal is to maintain quality service by establishing and enforcing organizational standards in concierge patient care.

Job Description

This position requires the candidate to provide an enhanced level of service and medical care. The patient/provider relationship at our office is key to our success and must be exceptional.
Candidate must be able to work independently with the goal of managing the service schedule including all coordination of patient care associated with services.

  • Comprehensive Care Clients program

    • Manage all aspects of the concierge healthcare program, including but not limited to: patient (client) relationship, set expectation, provide information to both provider and client, calendar management and overall, ensuring the
      client has the best possible experience from start to finish.

  • Duties include, but not limited to:

    • Develop relationships and contacts with clients.

    • Develop referral stream and key relationships with patients by providing exceptional service, follow up and care.

    • Collect and organize records, maintain electronic charts and all client/surgical/program/medical information and data.

    • Provide clients and doctors with everything they need before, during and after visits, such as paperwork, results of diagnostic tests, the patient's medical history and referrals, prescriptions, referrals, etc.

    • Set expectations for each program

    • Discuss costs and fees of visits and services in an appropriate, professional manner

    • Record data in the patient's chart at the including visit documentation, medical questions and updates, follow up, prescriptions, etc.

    • Complete calendar management: schedule appointments for patients and monitor the doctor's schedule to ensure there are no overlaps or overbookings.

    • Prepare and complete all paperwork, orders, insurance arrangements, etc.

    • Manage patient calls, questions and medical programs; complete all medical, admin and service follow up.

    • Coordinate and manage client flow and experience within our office.

    • Implement program recommendations.

    • Greet patients, orient them to programs, pre/post examination expectations, client questions and arrangements inside and outside of our office.

    • Ensure client has the best experience possible from beginning to end, great follow up from their visits and get everything they need.

    • Manage program renewals for each client.

    • Transition clients into other programs as needed for clinical care.

    • Ensure physician is prepared for all contacts, calls, visits and meetings.

    • Daily briefing and overview with doctors to begin the day, again at lunch and again at days end.

    • Support physician in managing workflow and completing tasks and responsibilities according to appropriate timelines

    • Full calendar management of medical business calendar and travel.

    • Administrative and other duties as assigned.

    • Cross training and back up support for other coordinator positions as needed

    • 1 week on call. 10% travel.

Qualifications

  • College degree
  • Polished, professional and tactful.
  • Ability to demonstrate customer service skills in interactions with all patients, families and staff, including high volume and stressful situations
  • Ability to maintain confidentiality of sensitive information
  • Ability to remain calm under pressure and apply sound judgment
  • Ability to solve problems and identify solutions
  • Ability to speak and write effectively at a level appropriate for the job
  • Knowledge of computer systems and software used in functional area


Competencies:

  • We are especially looking for high-touch, concierge type hospitality with EXCELLENT Customer Service Skills. 
  • Outstanding written and verbal communication skills.
