Crucially, approximately 80% of this role is dedicated to Owner Account Management and high-level admin/CRM rigor. Acting as an expert diplomat with senior, high-net-worth villa owners, ensuring full contract lifecycle management, data accuracy, and commercial optimization.
The remaining 20% focuses on agile field operations, quality control, and problem-solving on-site. You lead the destination's strategic vision by following a strict annual roadmap to secure seamless high and low seasons, ensuring full adherence to Paris head office budgets, guidelines, and central processes.
✨ Responsibilities:
1. Strategy, Annual Roadmap & Headquarters Alignment (Paris Office)
Annual Roadmap Execution: Define, track, and execute a comprehensive annual roadmap to guarantee smooth operational readiness for upcoming seasons (hiring schedules, pre-season villa inspections, inventory checks, and team structuring).
Budgetary & Financial Control: Monitor, control, and strictly align destination expenditures with the budgets approved by the Paris head office. Conduct performance analyses.
Headquarters Synergy & Process Compliance: Ensure compliance with Paris office guidelines and central processes. Act as a bridge between local reality and headquarters, maintaining seamless interdepartmental communication while tailoring central processes to local market constraints when necessary.
2. Villa Portfolio & Owner Account Management
High-Level Owner Diplomacy: Build, nurture, and maintain long-lasting, trusted partnerships with senior, high-profile property owners. Demonstrate assertiveness, diplomacy, and a strong expert posture when addressing difficult conversations or framing owner expectations.
Portfolio Movements & Quality: Oversee portfolio dynamics (offboarding, onboarding new gem properties in close coordination with the Business Development team) and guarantee that 100% of villas meet Le Collectionist's ultra-luxury standards.
Commercial Performance Optimization: Maximize portfolio performance and competitiveness through pricing strategies, exclusivity negotiations, calendar availability management, and high-quality content updates.
Meticulous CRM & Administrative Rigor: Maintain flawless, real-time data tracking in CRM systems (owner interactions, contracts, villa technical sheets, legal documentation) to feed local and Paris teams with complete transparency.
3. Season Setup, In-Season Management & Financial Tracking (May to October)
Local Representatives Management (high season May–October, peak June to September): During the high & peak season, actively manage the network of Local Representatives to guarantee the flawless execution of their daily missions (check-in/check-out, guest welcome, property inspections).
Administrative & Financial Follow-up: Track and review Local Representatives' monthly invoices, validate completed services, process payments, and ensure smooth operational workflows throughout the entire peak season.
Team Leadership & Recruitment: Source, recruit, onboard, and train Local Representatives and third-party service providers across Portugal in strict alignment with Le Collectionist standards.
Directly mentor the Deputy Resort Manager / Account Manager on day-to-day tasks.Pre-Season Readiness: Oversee pre-season inspections, validate property readiness, manage operational budgets, and supervise resort stock management.
4. Guest Experience & On-Site Operations
Guest Satisfaction Guardian: Ensure properties are fully prepped and personalized according to Le Collectionist requirements. Act as the ultimate escalation point for complex guest complaints, damages, or claims in coordination with the Guest Relations team.
Operations Committee: Run regular Operations Committee meetings with the concierge team to coordinate arrival logistics and seamless stay execution.
Agile Problem Solving: Conduct field visits across sub-regions (Lisbon, Comporta, Algarve, Douro, Porto) to handle high-stakes crises, perform quality audits, and resolve on-the-ground issues with high agility.
