Job Description

In a time of unprecedented expansion, we are seeking a Training Operations Specialist to join our team. In this role, you will provide administrative support, manage schedules and coordinate training initiatives for our Outside Sales team. The position requires managing calendars across multiple time zones, scheduling recurring meetings and demonstrating good judgment in handling complex scheduling needs. The role also requires working with management to ensure the organization and flow of hiring and onboarding processes. In addition, you will maintain training repositories for accuracy and manage content delivery throughout onboarding. The ideal candidate is collaborative, energetic, proactive, organized and possesses a solid operational mindset. They should be knowledgeable about field training and enablement programs while ensuring exceptional learning experiences. 

A day on the job looks like this: 

  • Organize and manage all training activities for sales channels 
  • Ensure consistency in training programs across all channels and assess their effectiveness 
  • Prepare and maintain internal reports and processes 
  • Assist in developing, coordinating and recommending changes for the improvement of workflows 
  • Monitor and manage support channels (e.g., Microsoft Teams and Outlook) to maintain an effective system for timely responses to client questions and needs 
  • Manage administrative duties such as completing expense reports, adhering to budgets and coordinating scheduling and travel for the organization 
  • Collect, document and maintain training materials in SharePoint 
  • Support live and virtual event planning; serve as a primary lead for operational requirements 
  • Manage rosters and distribution lists for targeted sales audiences, including new hires 
  • Collaborate with program owners to define success metrics and provide regular metric updates 
  • Track and monitor attendee participation and completion; schedule and communicate to program leadership 
  • Conduct project status meetings with the core Training & Enablement team and key contributors  
  • Identify project risks and recommend appropriate resolutions 
  • Review and deploy communications to the field through various channels while maintaining brand consistency 
  • Create surveys and analyze results to inform necessary operational updates 

Qualifications

  • Bachelor’s degree in a related field 
  • 2–5 years of experience in the field 
  • Proven experience in organizing and managing training programs and projects  
  • At least 2 years of experience providing senior-level support and balancing multiple responsibilities with great accuracy 
  • Strong organizational and communication skills 
  • Ability to handle multiple tasks and prioritize effectively 
  • Proficient in Microsoft Office suite, Zoom and SharePoint 
  • Experience in event planning and project management preferred 
  • Familiarity with metrics and data analysis 
  • Knowledge of Salesforce preferred    
  • Ability to work independently and collaboratively in a team environment 
  • Strong attention to detail and ability to maintain confidentiality 
  • A self-starter and problem-solver who is able to conceptualize and initiate solutions that support the improvement and sustainability of the program
