Job Description

PRINCIPAL PURPOSE OF JOB: The Patient Coordinator interacts with patients, via the telephone, to provide them with great experiences by doing that little bit of extra. The Patient Coordinator performs a variety of tasks including, but not limited to:

ESSENTIAL JOB FUNCTIONS:

  • Answering the telephone in a friendly, professional, and helpful manner;
  • Adhering to HIPAA standards at all times;
  • Collecting appointment-related information;
  • Collecting new patient data regarding name, address, phone number, insurance, etc.
  • Maintaining patients’ records and documents;
  • Gathering insurance information for the Insurance Coordinator for processing, verifying, and integrating with patients’ accounts;
  • Preparing morning Medicaid list;
  • Managing doctor and hygiene schedules according to approved templates;
  • Tracking x-rays and exams as needed;
  • Communicating efficiently and effectively with Doctors, Practice Managers, Treatment Coordinators, and the Insurance Department to maximize goals set by Management;
  • Opening and closing as scheduled;
  • Scanning documents as needed.

ADDITIONAL JOB FUNCTIONS:

  • Identifying and utilizing all forms in patient charts;
  • Identify teeth via names, numbers, and surface names;
  • Learning dental codes and flow of different procedures;
  • Assisting in training others as needed.

Qualifications

Education/Certificates/Licenses/Training/Registration Requirements

  • High School Diploma/equivalent (GED) required
  • Two years of office experience, preferably in dentistry, is desired
  • Must be able to operate a computer. Must be proficient in Microsoft programs including, but not limited to, Excel, Access, Outlook, and Word. Must be able to learn other software programs required by the department
  • Must be able to do basic accounting and mathematical computations with a high degree of accuracy
  • Must have the ability to communicate effectively with patients, doctors, staff, and the community
  • Must be reliable, dependable, and goal oriented
  • Must be able to handle calmly and efficiently situations ranging from routine to emergency
  • Must have excellent memory and organizational ability skills
  • Must be able to set priorities, organize, and handle multiple responsibilities

Physical

  • Ability to sit or stand at a workstation for extended periods
  • Occasional ability to lift, carry, and put away parcels weighing up to 35 lbs.
  • Occasional ability to travel to other locations

Use of Tools

Standard office equipment including, but not limited to, personal computer, two-way radio, multi-line telephone system, fax machine, copier, and calculator.

WORK ENVIRONMENT: Most of the work is performed in a fast-paced office setting with frequent interruptions. Some of the work may be performed at any of the SigNet/Ladd Dental offices.
