Job Description

The HR Operations Administrator plays a critical support role within the Human Resources team, providing administrative and operational support across the full employee lifecycle. This role serves as a key support function to all HR Business Partners, ensuring that HR processes, employee records, system updates, reporting requirements, and employee-related administration are executed accurately and timeously.

The incumbent will be responsible for maintaining data integrity across multiple HR platforms, supporting onboarding and offboarding activities, processing employee movements, maintaining employee records, and ensuring compliance with internal policies and legislative requirements.

This role requires a highly organised, detail-oriented, and technology-savvy individual who can effectively manage multiple priorities in a fast-paced environment while maintaining exceptional levels of accuracy and service delivery.

You are responsible for
Inclusive of, but not limited to:

  1. Onboarding & Offboarding Administration
    • Onboarding Administration:
      • Create accounts for new employees on multiple platforms & internal sheets.
      • Prepare payroll and IT input documentation.
      • Distribute welcome and induction communications.
      • Coordinate asset allocation requests with IT.
    • Offboarding Administration:
      • Complete relevant exit administration activities.
      • Process payroll and system updates relating to employee terminations.
      • Maintain exit documentation and employee records.
      • Ensure compliance with company offboarding processes.
  2. Employee Movements & HR Administration:
    • Process all employee movements including promotions, transfers, manager changes, departmental changes, title changes, division changes, and payroll-related changes.
    • Prepare payroll and IT input documentation relating to employee movements.
    • Update all relevant systems and records.
    • Support organisational structure changes and employee administration requirements.
    • Ensure all employee changes are accurately captured and communicated.
  3. Employee Information Management:
    • Process employee information changes, including banking details, surname changes, and personal information updates.
    • Maintain employee records across multiple HR platforms.
    • Ensure employee files remain accurate, complete, and audit-ready.
    • Maintain strict confidentiality when handling employee information.
    • Conduct regular data validation and quality checks to ensure data integrity.
  4. Leave Administration:
    • Respond to employee and manager leave-related queries.
    • Support leave forfeiture processes.
    • Assist with leave reconciliations and reporting where required.
    • Ensure compliance with company leave policies and procedures.
  5. General HR Administration & Compliance:
    • Disciplinary Administration:
      • Maintain disciplinary records within employee files.
      • Update disciplinary records on relevant HR and payroll systems
    • Employment Confirmation Requests:
      • Manage internal and external employment verification requests.
      • Issue employment confirmation documentation in accordance with company policies and procedures.
    • Payroll Administration Support:
      • Prepare payroll inputs relating to approved employee changes.
      • Support Acknowledgement of Debt (AOD) administration.
      • Assist with payroll-related reconciliations and validation of employee information.
    • Compliance & General Administration:
      • Maintain employee documentation and HR records.
      • Support internal and external audits.
      • Assist with reporting and compliance requirements.
      • Ensure adherence to company policies and legislative requirements.
      • Identify opportunities to improve administrative processes and efficiencies.
  6. Operational Support to HRBPs & HR Operations:
    • Provide administrative support to all HR Business Partners.
    • Assist with HR projects, initiatives, and annual HR cycles.
    • Support employee engagement, performance management, talent, and people-related initiatives.
    • Assist with data gathering, reporting, and analysis.
    • Actively communicate progress, manage stakeholder expectations, and escalate concerns where necessary.
    • Take ownership of assigned tasks and seek guidance when required.
    • Support continuous improvement initiatives across the HR function.

Package & Remuneration:

Salary: R13 000 - R23 000 CTC per month (Dependent on experience)

Qualifications

Minimum Requirements

  • Grade 12 (Matric) is essential.
  • A Diploma or Degree in Human Resources Management or related field will be advantageous.[ Employees who do not currently possess a relevant HR qualification should demonstrate a willingness and commitment to obtaining one].
  • Strong computer literacy is essential.
  • Advanced working knowledge of Microsoft 365 applications, particularly:  Excel, Word , Outlook, Teams & SharePoint
  • Intermediate Excel skills are required, including:  VLOOKUP / XLOOKUP , IF Statements, Conditional Formatting, Basic data analysis, Reconciliations, Data validation and quality check
  • Must be comfortable working across multiple systems and platforms simultaneously.
  • Working knowledge of South African labour legislation and HR administration practices will be advantageous

Experience

  • 1 to 3 years' experience in an HR Administration, HR Operations, Payroll Administration, or related administrative environment will be advantageous.
  • Exposure to employee lifecycle administration will be advantageous.
  • Experience maintaining employee records and HR systems will be advantageous.
  • Experience working within a fast-paced and deadline-driven environment.
  • Experience managing multiple tasks and competing priorities simultaneously.
  • Exposure to HRIS, Payroll, LMS, or employee management systems will be advantageous.
