Job Description

The Admissions Assistant reports to the Director(s) of Admissions and supports the administrative work of the Admissions Office. This is a full time position and the schedule will vary based on the needs of the department. This is a community facing role which gives families a first glimpse into La Scuola. Integrity, discretion, the ability to maintain all information strictly confidential and a commitment to the mission of La Scuola are musts.  Note, flexibility is important as there will be morning events beginning at 7:30 am, evening events until 9:00 pm and, Saturday events as well during the academic year / admissions season. 

Admissions – Primary Duties and Responsibilities

  • Helps create, organize, and prepare admission materials. 
  • Responds and logs Admissions inquiries. 
  • Assists with admissions events set up, such as open houses, community events, tours; and prepares all relevant materials beforehand.
  • Assists in the admissions process by setting up the online tour scheduling system (in Ravenna), booking tours, and making other appointments, as appropriate.
  • Organize individual screens and group visits for preschool, kindergarten and other applicants.
  • Schedules assessments (as needed) and student visits for Grade 1 -- 8 applicants under the guidance of Directors.
  • Assists in managing and updating Admissions databases.
  • Maintains and ensures completion of all applicant files.
  • Prepares files for review by the Admissions Committee
  • Represents the Admissions Office in accordance with the school's mission.
  • Helps with new student and families onboarding process.
  • Supports annual transitions and student matriculation.
  • May collaborate with Parents Association on planning and events.

 

 

Qualifications

Qualifications and Abilities

  • Minimum of a Bachelor's Degree or 2-3 years of experience in  admissions/administration ( if worked in a school setting a plus)
  • Meticulous attention to detail.
  • Ability to communicate effectively and professionally both verbally and in writing.
  • Proficiency with GoogleDocs and Microsoft Office programs (Excel, Word, PowerPoint).
  • Database skills essential (familiarity with Ravenna and Blackbaud  a plus).
  • Sound judgment relating to confidential projects, personnel, school, or student matters.
  • Multi-tasker with ability to handle multiple projects without missing deadlines; self-directed and enjoys taking initiative.
  • Excellent interpersonal skills
  • A cooperative team approach with colleagues and a willingness to take on responsibilities beyond those explicitly defined.
  • Fluency in Spanish (written and oral) and / or Italian a plus

Basic Skills

  • Exceptional personal, organizational and communication skills, flexibility and the ability to prioritize tasks. Ability to relate effectively with a diverse community, including staff, students, and parents. 
  • Demonstrated ability to work with a wide variety of community groups and organizations.

  • Basic first aid

Additional Information

Must be authorized to work in the U.S. La Scuola may be able to offer a teachers exchange visa for teachers with a BA in elementary education/teaching credentials in their country of origin AND a minimum of two years of teaching experience.

Prior to beginning work and as a condition of employment in order to comply with the law, all employees must provide documentation to prove eligibility to work in the United States. In addition, the final candidate will need to pass Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance, a physical exam, and provide a recent copy of a negative TB test/assessment and other immunization records.

Estimated hourly rate: $33 - $35 / hour temporary role August ASAP - Dec 31, 30 - 40 hours per week.
