Job Description

The Director of Auxiliary Programs reports to the Early Childhood and Elementary Division Directors and Chief Operating Officer and is responsible for the implementation of quality Enrichment Program and Summer Camp Program for grades PreK – Grade 8 and Extended Care for grades Kindergarten - 8. This person will maintain a safe and educational learning environment for children by ensuring all staff implement the auxiliary programs’ curriculum and activities, enriching the students intellectually, socially, emotionally, and physically. The Director will promote teamwork and effective communication, and will embody the IB Learner Profile and the mission and values of La Scuola.

Essential Duties and Responsibilities:

-Develop, organize and manage all auxiliary programs for the La Scuola community including but not limited to Extended Care, Enrichments and Summer Camp.

-Hire, train, schedule and manage staff for all Auxiliary programs

-Ensure programs are staffed accordingly during school and summer camp hours 

-Plan all program timing in advance to ensure proper marketing and recruitment for programs

-Market all Auxiliary programs in a timely way to ensure enrollment needs are met in collaboration with the marketing and communications team.

-Maintain a safe and educational learning environment for children by ensuring all staff implements the auxiliary programs’ curriculum and activities.

-Regularly attend, on a rotating basis, childcare and enrichment programs for the purposes of observation, evaluation and guidance.•Be responsible for knowing, understanding, training and executing all school and camp policies, safety and emergency procedures.

-Manage inventory of all supplies and meal planning logistics as necessary

-Negotiate and contract with third-party service providers of educational/ recreational programs as appropriate

-Communicate with extended care staff, parents and teachers on discipline issues occurring in the extended care program.

-Be a role model for the AP/EC staff and maintain a professional, collaborative and positive atmosphere in the school.

-Report any concerns and questions regarding the program (students, parents, equipment needs, supplies, other staff, volunteers, etc.) to the Division Director, COO and / or Head of School

-Manage sign up, enrollment and form collection process for all participants; may include parent surveys and outreach as appropriate

-Oversight of all Summer Program faculty (this includes making sure that a Site Supervisor is always present, arranging substitutes, ensuring adequate coverage per La Scuola’s ratio requirements, etc.)

-Consistent presence during all hours of the Summer Program

-Observe and monitor children’s play activities.  Support the emotional and social development of children.

-Promote a safe and healthy environment based on safety standards set within the program.

-Smooth coordination of summer food program, including allergy awareness if applicable

-Maintain a high sense of professionalism at all times while leading the Extended Care staff.  Demonstrate behavior that is professional, ethical, and responsible.

-Efficiently and consistently redirect inappropriate student behaviors and implement the program discipline system to effectively monitor and guide proper student behavior. 

-Communicate with extended care staff, parents and teachers on discipline issues occurring in the extended care program.

Personnel:

-Oversee the financial, enrollment and Human Resources for the childcare and enrichment programs.  

-Manage the development and use of the auxiliary programs budget. 

-Manage the hiring of appropriate staff to facilitate the program.

-Negotiate and contract with third-party service providers of educational/recreational programs.

-Work with Human Resources to ensure proper on-boarding of all staff members

-Identify lodging for all summer visa holders

-Ensures compliance with health, safety and security standards, as coordinated with HR (examples: all employees fingerprinted, immunized, TB tested, Mandated Reporters, etc.)

-Facilitate regular meetings with program staff.

-Set up systems for communication and collaboration among all AP members involved in implementing the AP programs.

-Create electronic shared folders (dropbox, google docs) as needed.

-Observe activities to ensure standards are met/implemented and offer guidance and mentorship for staff. 

-Coordinate new staff induction to the AP/EC team

-Identify what Professional Development areas are needed and identify staff for workshops or in house trainings.

-Be a role model for the AP/EC staff and maintain a professional, collaborative and positive atmosphere in the school.

-Work cooperatively and effectively as a team member by communicating and contributing information on a continuous basis.

-Address the ongoing needs of the students and parents.

-Report any concerns and questions regarding the program (students, parents, equipment needs, supplies, other staff, volunteers, etc.) to the Lower School Director, Middle School Head, Director of Administration or Head of School.

After School and Enrichment Programs, La Scuola Summer School:

-Research mission-appropriate after school enrichment programs to introduce to the school community

-Survey parent community for enrichment programs they are interested in their children attending

-Create trimester long enrichment programs that are affordable and represent a range of student interests

-Produce a program overview with each program description, schedule (days and times) and price for the parent community.  Communicate a deadline by when forms need to be completed.

-Collect and manage sign-ups and payment for the Enrichment programs.  In some cases, the outside organizations will manage the payments online.

-Monitor that conduct of outside organizations meet the standards and expectations of La Scuola. Should any concerns arise, schedule a meeting the organization and request that another La Scuola employee be present.

-Establish contact and maintain communication with each program, and communicate any changes to La Scuola families.

Communication and Documentation:

-Serve as a liaison between the school and parents using Extended Care program.

-Inform administrative personnel about program activities through regular meetings.

-Keep professional skills and knowledge updated. 

-Demonstrate positive interpersonal relationships with staff, students and the community.

-Coordinate the development and submission of all necessary reports and records for the program and ensure that specified timelines are met. 

-Effectively communicate, orally and in writing, necessary information and ideas to staff, students and parents. 

-Be familiar with and promote understanding and use of all the school policies.

-Set up systems for communication and collaboration among all Extended Care members involved in implementing the Extended Care program.

-Maintain accurate and organized records such as attendance records, timesheets, incident reports, and all other paperwork as instructed by the program coordinator to ensure program compliance and quality operations.

-Publish articles pertaining to the PYP / MYP program in the school newsletter.

-Attend a meeting with each grade group once per week and ensure there are minutes for grade meetings.

-Ensure are completed and mentor proper completion/implementation in every grade level

-Perform other duties as assigned.

-Prior experience in an educational or similar institution

-Problem solver with a high degree of diplomacy

Additional Information

Must be authorized to work in the U.S. Prior to beginning work and as a condition of employment in order to comply with the law, all employees must provide documentation to prove eligibility to work in the United States.

In addition, the final candidate will need to pass both Criminal Justice Department and Federal Bureau of Investigation Fingerprint Clearance and a physical exam, and provide a recent copy of a negative TB test and other immunization records.

Estimated annual salary range: $85,000 - $95,000 depending on credentials, qualifications and experience.
